Your Impact
The People Operations Coordinator will play a key role in supporting Jack.org’s HR and people operations functions. Approximately 75% of the role is focused on core HR tasks including onboarding, employee support, documentation, and benefits administration. The remaining 25% supports office coordination and internal operations to ensure smooth day-to-day functioning.
Key Duties and Responsibilities
Human Resources (75%)
- Serve as the first point of contact for day-to-day HR inquiries, offering timely and confidential support on policies, benefits, payroll, and onboarding
- Manage employee onboarding and offboarding processes, ensuring a smooth and thoughtful experience
- Maintain up-to-date employee records across systems such as BambooHR and PowerPay (Ceridian)
- Prepare employee-facing documentation including offer letters and contract amendments
- Support key HR programs including performance cycles, engagement surveys, and training coordination
- Administer group benefits programs, including enrollment, updates, and issue resolution
- Keep HR documentation, including the employee handbook and internal resources, accurate and accessible
- Draft clear internal HR communications
- Support feedback collection and help identify potential employee experience issues
- Help coordinate team events, staff recognition, and social initiatives
- Assist with recruitment logistics, including job postings, resume screening, and interview scheduling
- Organize employee travel and accommodations in line with policy
- Support planning for internal and external events such as offsites and retreats
- Recommend improvements to HR processes and tools for clarity and ease
People Operations & Administration (25%)
- Oversee general office needs, vendor relationships, supplies, and shared workspace organization
- Coordinate employee equipment (laptops, accessories), maintain inventory, and support tech onboarding
- Monitor and respond to general organizational inboxes and phone lines
- Manage incoming and outgoing mail (physical and digital)
- Track and enter invoices related to HR and office expenses
- Provide general support for administrative and operational tasks as needed
