We are currently looking for a People and Culture Coordinator to join our team of committed professionals. This is an 18 month full-time contract position to cover a parental leave. This position within the Association is housed at the YMCA of Northeastern Ontario’s Durham or Chippewa location in Sudbury or North Bay.
Under the leadership of the General Manager of People & Culture, the People & Culture Coordinator provides day-to-day HR coordination and support across the association. This role administers People & Culture policies, procedures, and programs, while supporting a range of HR functions including: training and development, compensation (HRIS and payroll), recruitment and selection, employee relations, and HR compliance. The People & Culture Coordinator also plays a key role in maintaining and communicating the Association’s HR policies, procedures, and guidelines to staff and volunteers, and is responsible for the accurate management of personnel files for both employees and volunteers.
START DATE: June 30th, 2025
LOCATION: Sudbury or North Bay, ON
RATE OF PAY: $45,000 - $48,000 annually
HOURS: 40 per week
Major Responsibilities
- Create and distribute job postings on a weekly basis, ensuring accuracy and adherence to internal policies, legislative requirements and best practice
- Create and ensure accuracy of employment offers
- Prepare and provide orientation packages
- Ensure personnel files are compliant with legislation and YMCA policies, procedures and practices by conducting follow ups with employees and supervisors
- Provide smooth offboarding communications to departing staff, answering questions and providing information about their benefits, entitlement and accrual balances, record of employment, final pay date, etc.
- Process all employee lifecycle transactions including changes of status, job shares, account allocation and wage change information
- Enter and maintain employee and volunteer information in the HRIS and Citation
- Ensure the Association is compliant with legislation & regulations
- Coach on and provide interpretation of policies, procedures and practices to the Leadership Team and Supervisors
- Administer mandatory training to all staff in Citation (AODA, WHMIS, Workplace Violence & Harassment, etc.)
- Maintain the HRIS while ensuring adherence with legislation and Association policies and procedures
- Work in conjunction with supervisors to address employee relations issues, referring more complex issues to the GM of People & Culture as necessary
- Support the GM of People & Culture with investigations, fact-finding, mediation and documentation
- College diploma or university degree in human resource management, business administration, social services, or related field
- Recognized (or working towards) human resources designation (CHRP or CHRL) an asset
- Minimum of two to three (2-3) years of experience in Human Resources
- Excellent verbal and written communication skills
- Advanced computer skills
- Excellent interpersonal skills
- Working knowledge of Human Resources Information Systems (HRIS)
- Excellent organizational and time management skills
- Ability to act with tact, discretion and maintain confidentiality
- Bilingualism in both official languages an asset
