As we grow, we are looking for a detail-oriented Operations Administrator to join our team and oversee vital administrative and operational functions.
Position Overview: We are seeking a hands-on, detail-oriented Operations Manager who can thrive in a fast-paced production environment while managing key financial and administrative responsibilities. This role is ideal for someone who enjoys keeping operations running smoothly and efficiently while also ensuring accurate financial tracking, vendor management, and reporting.
You’ll oversee day-to-day order flow, purchasing, and inventory coordination, while also handling bookkeeping tasks, reconciling financials, and supporting budgeting efforts. We’re looking for someone who can move quickly, stay organized, and help drive both operational and financial success.
This position requires a deep understanding of QuickBooks, strong organizational skills, and a background in accounting to ensure seamless day-to-day operations.
Key Responsibilities:
- Purchasing:
- Order materials
- Monitor and maintain optimal inventory levels.
- Accounts Payable & Receivable:
- Process invoices and payments promptly and accurately.
- Track and reconcile accounts receivable.
- Handle communication with vendors and customers regarding payments.
- Inventory Management:
- Track incoming and outgoing inventory.
- Ensure accurate records and resolve discrepancies.
- Accounting:
- Maintain financial records using QuickBooks.
- Assist in preparing financial reports and budgets.
- Reconcile bank statements and manage company accounts.
- Administrative Support:
- Support day-to-day office operations as needed.
- Ensure production is moving smoothly.
Qualifications:
- Strong proficiency in QuickBooks (mandatory).
- Background in accounting, with a minimum of 3 years of experience in a similar role.
- Knowledge of purchasing and inventory management practices.
- Exceptional organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent communication and interpersonal skills.
