We are currently recruiting for the full-time position of Office Coordinator, based in Truro, Nova Scotia.
Job Description
This position will perform a broad range of duties. Candidate must have solid communication, writing, and scheduling skills. The successful applicant will interact with professional staff, as well as subcontractors and clients. Candidate must demonstrate a high level of attention to detail, and be a highly organized, self-starter, with clear and proven initiative.
Responsibilities
Under general supervision you will perform varied and complex office duties, and other duties as assigned:
Human Resources
· Assist with recruitment process and onboarding of new employees;
· Maintain accurate employee records and HR database, ensuring accuracy and confidentiality;
· Administer employee benefits programs as well as assisting employees with documentation, enrollment, changes and inquiries;
· Point of contact for employee inquiries, providing guidance and support;
· Assist with scheduling including tracking staff availability, absences and time off requests;
· Communicate with Director, management team and staff on the interpretation of policies, compensation and benefit programs.
Finance
· Process payroll according to schedules;
· Process WCB and Tax remittances;
· Maintain and process expenses and invoices for clients and operations;
· Accurately enter required information to QuickBooks and other financial programs as required
· Prepare monthly reports and presentations.
Office
· Receive and screen communications, including in-person, telephone, mail and email messages;
· Maintain supply inventory;
· Review and direct miscellaneous correspondence and reports;
· Contact individuals inside and outside of the organization to gather and provide information.
Qualifications
Previous experience in office administration, scheduling and payroll
Post Secondary education in a related field
Proficiency in Microsoft Office Suite, Quickbooks, Payworks
Exceptional organizational skills, ability to meet deadlines and adapt to changing priorities
Advanced English, written and spoken.
Ability to obtain a vulnerable sector police check.
Ability and willingness to learn new systems
The rate for this position is negotiable, does include Group Insurance Benefits and vacation entitlement.
