Duties

- Handle incoming calls and respond to inquiries with professionalism and courtesy.
- Maintain organized filing systems for documents, both physical and electronic.
- Assist in scheduling appointments and managing calendars for team members.
- Perform data entry tasks accurately using various software applications, including QuickBooks.
- Provide administrative support to various departments as needed.
- Manage office supplies inventory, placing orders when necessary.
- Collaborate with team members to streamline office processes and improve efficiency.
Experience
- Previous experience in an administrative or office support role is preferred.
- Familiarity with customer service practices and front desk operations is a plus.
- Proficiency in computer applications, including Microsoft Office Suite
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent communication skills, both verbal and written, to interact with clients and colleagues professionally.
- A detail-oriented approach with the ability to maintain confidentiality in handling sensitive information.

Responsibilities:
- Perform general office duties, including answering phones, managing schedules, and organizing files
- Handle collection activities: follow up on outstanding invoices, maintain records of collection efforts, and coordinate with clients
- Prepare and edit documents using Microsoft Word and Excel
- Maintain accurate records and databases
- Provide administrative support to management as needed
Requirements:
- Proven experience in a similar office role, with a focus on collections
- Proficient in Microsoft Excel and Word
- Strong attention to detail and organizational skills
- Excellent verbal and written communication skills
- Dependable, punctual, and able to work independently
- High school diploma or equivalent (Associate's degree or higher is a plus)
