Job Summary
The Office Administrator/Bookkeeper will be responsible for managing daily office operations, providing administrative support, and handling some accounting functions of the business. This dual-role position requires someone who is detail-focused, trustworthy, and proactive in streamlining both administrative and accounting tasks.
Responsibilities
Office Administration
- Manage daily office operations and order office supplies
- Assisting front desk with incoming calls, emails, client queries and client Ids when on breaks
- Oversee reception workflow and supervise file management such as opening and closing files
- Maintain the common area to ensure it is always clean and presentable
- Assist with HR tasks such as scheduling interviews and employee time off record keeping
- Administer vendor relationships and ensure timely payment of invoices
- Monitor, organize, and respond to diverse email communications in a timely and professional manner.
- Host and facilitate office events and monthly meetings with the Partners
Bookkeeping
- Handle billing processes, including posting invoices, tracking payments, and following up on outstanding A/R
- Accurately post all general and trust receipts, enter bill payments, and do final deposits
- Issue trust and general cheques and maintain records as per Law Society of BC and AB’s rules
- Prepare and reconcile trust accounts and calculate interest on disbursements for Personal Injury files
- Post disbursements, issue cheques and keep up to date with all Account Payables
- Generate Trust Listing and AR reports and assist Lawyers with updates
- Assisting front desk with incoming calls, emails, client queries and client Ids when on breaks
Qualifications
- Proven experience in office administration and bookkeeping
- Proficiency with accounting software preferably Unity accounting
- Strong knowledge of Microsoft Office (Excel, Word, Outlook)
- Excellent communication and organizational skills
- High attention to detail and accuracy
- Ability to work independently and manage multiple tasks
- Bilingualism – English and Punjabi an asset
