Overview:
We are seeking a detail-oriented, proactive Office Administrative Assistant to support the day-to-day operations of our growing team in London, ON. The Office Administrator plays a key role in ensuring the smooth functioning of our administrative processes and internal communications. This individual will support office organization, coordinate schedules, handle internal documentation, and act as a point of contact for both internal team members and external clients or vendors.
The ideal candidate is an organized, empathetic and adaptable professional with a strong work ethic, excellent communication skills, and the ability to manage multiple responsibilities in a dynamic office environment. Prior experience in a healthcare or fast-paced business setting is considered an asset.
Requirements:
- Must be able to reliably commute to or relocate to London, Ontario (N6L 0G4)
- Bachelor's Degree from a Canadian institution (preferred)
- Minimum of 2 years of experience in an administrative or office support role
- Strong organizational skills with attention to detail and accuracy
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable learning new digital tools
- Ability to manage competing priorities in a fast-paced environment
- Professional demeanor and a team-oriented mindset
- Must possess a valid driver’s license and have access to a vehicle
- Familiarity with medical terminology, healthcare systems, and procedures in the Canadian healthcare context.
- Ability to maintain patient confidentiality and adhere to ethical standards in a healthcare setting.
Responsibilities:
- Manage day-to-day office administrative tasks including data entry, filing, document management, and supply inventory
- Answer calls and emails, route inquiries appropriately, and provide general support to visitors and staff
- Coordinate team calendars, schedule meetings, and assist in booking appointments or office logistics
- Prepare, organize, and maintain office documentation such as reports, spreadsheets, internal memos, and employee records
- Support HR and operations in onboarding tasks and internal communications
- Monitor and maintain office cleanliness and ensure readiness for team meetings or external guests
- Assist in organizing internal meetings, team events, and special projects
- Work closely with leadership to improve workflow processes and identify areas of administrative efficiency
- Ensure compliance with workplace policies and confidentiality standards
