- Deliver Exceptional First Impressions: Answer new patient calls with warmth and professionalism, gather essential information, and build rapport while scheduling consultations that align with practice guidelines.
- Prepare for Success: Send welcome emails, verify insurance coverage, pull x-rays and records, and prepare personalized welcome packets to ensure every patient feels informed and valued before their first visit.
- Support the Exam Experience: Coordinate all pre-exam logistics, ensure accurate data entry, and help patients understand what to expect—creating a seamless transition into treatment if recommended.
- Follow Up with Care: Track and follow up with patients who are undecided about treatment, manage recall reports, and maintain consistent communication to keep patients engaged and informed.
- Collaborate and Contribute: Participate in team meetings, report on new patient metrics, and work closely with clinical and administrative staff to foster a supportive, respectful, and patient-focused environment.
- Previous customer service experience.
- Previous administration experience within a clinical setting is an asset.
- Experience working in an orthodontic or general dental clinic is an asset.
- Working knowledge of Microsoft Office suite; proficiency with orthodontic management software systems is an asset.
- Exceptional interpersonal and communications skills (verbal and written), with a proven ability to build strong relationships and rapport with patients, parents, doctors, fellow team members and the community.
- Keen attention-to-detail and time management skills.
