Job Scope:
The Milk Planner is responsible for milk and milk components forecasting, inventory control and the purchasing of raw materials and packaging used in production at Gay Lea. This Planners tasks will consist of analyzing forecasted requirements of our Bill of Material items and coordinating replenishment over the short- and long-term horizon capturing both risks and opportunities and addressing/escalating them as required. This Planner will work closely with the DFO, Western Milk Pool, various Suppliers, Procurement, Production Scheduling and Operations. The Planner identifies risks and opportunities, escalates issues as needed, and supports the organization’s operational and financial objectives.
This is an exciting opportunity for a detail-oriented planner to build strong supplier relationships, manage supply risks, and contribute to the overall efficiency and cost-effectiveness of Gay Lea’s operations.
Key Accountabilities:
- Support Operations by ensuring the availability of Milk, and Milk Components
- Create purchase orders where required for raw material requirements, ensuring timely and coordinated delivery from suppliers.

- Prepare annual and monthly forecasts for milk and milk components
- Monitor inventory usage to ensure milk and milk components are available for production.
- Material Usage Analysis: Track raw material usage and generate reports on material consumption trends, variances, and waste to identify opportunities for process improvements.
- Update purchasing, inventory, and maintain order reports of delivered materials.
- Troubleshoot issues related through ERP transactions with various departments.
- Work with Procurement(confirm pricing, timing, and tiers), and finance teams to resolve pricing and/or invoice discrepancies.
- Communicate real time risks or changes within schedule to affected plants.
- Create and maintain master production plans for processing, aligned with sales forecasts.
- Prepare and lead the Capacity Planning Review (CPR) meetings with the plant team.
- Participate in the Demand and Supply Review process, working with Sales, Procurement, Industry Affairs, Supply Planning, Operations, Finance, and Leadership Team.
- Process Owner for Milk Supply Review, coordinating with Sales, Ops, Procurement, Industry Affairs, Milk Strategy on long-term strategy for supply
- Monitor KPIs, escalate gaps, and perform root-cause analysis.
- Draw up master schedule to establish sequence and lead time of each operation.
- Utilize production specifications and plant capacity data to plan require production volumes while maximizing efficiencies in the plants with a capacity analysis, focused on Long-term Demand, Inventory Risk and more pertaining to Long term supply strategies
- Communicate with the demand forecaster, customer service, distribution, sales and marketing staff and some customers to best determine customer’s demand and schedule production to meet the demand.
- Review Milk Board communications, and shutdowns directly or through Industry Affairs
- Collaborate with Finance, Mass Balancing milk with actual production or future production requirements.
- Other ad-hoc projects as required by business needs.
- Post-secondary education in Business, Finance, Engineering or equivalent
- Minimum 2 years experience in order buying or a raw material planning role.
- Production scheduling experience considered an asset.
- Experience within a food processing environment – working knowledge of shelf-life constraints, HACCP, etc.
- Advanced knowledge of MS Office and applications; working knowledge of ERP and WMS systems
- Demonstrated proficiency in supply chain concepts – safety stock planning, MRP calculations, scheduling constraints, bottlenecks, etc.
- Excellent written and verbal communication; effective presentation skills
- Demonstrated ability to influence change and drive impact.
- Highly developed analytical, quantitative and data analysis aptitude
- Exceptional organization, prioritization, and planning skills
- Familiarity with Change Management, Six Sigma and Lean concepts
