We are seeking a dedicated and organized Medical Office Assistant (MOA) to join our team at My Medical Centers Ottawa. The MOA will play a vital role in ensuring the smooth operation of our clinic by managing administrative and patient care tasks. The ideal candidate is compassionate, detail-oriented, and efficient, with excellent communication and organizational skills.
Key Responsibilities1. Front Desk & Patient Interaction
- Greet patients warmly and provide excellent customer service.
- Schedule, confirm, and manage patient appointments.
- Handle patient inquiries in person, by phone, or via email.
- Assist patients with check-in and check-out procedures.
2. Administrative Duties
- Maintain and update patient records in the Electronic Medical Record (EMR) system ( Experience in OSCAR Pro)
- Process referrals, requisitions, and insurance forms (OHIP and private billing).
- Handle faxing, scanning, and filing of medical documents.
- Order and maintain office and medical supplies.
3. Clinical Support (if applicable)
- Prepare examination rooms and assist physicians as needed.
- Measure and record patient vitals (height, weight, blood pressure, etc.).
- Provide basic instructions to patients regarding procedures or medications.
4. Billing & Insurance Processing
- Process OHIP and private insurance claims.
- Verify patient insurance coverage and handle invoicing.
- Ensure accurate entry of billing codes.
5. Confidentiality & Compliance
- Ensure all medical records and patient information remain confidential, following PHIPA and clinic policies.
- Follow clinic procedures for infection control and safety.
Qualifications & Skills
✅ Education & Experience:
- Medical Office Assistant diploma or relevant certification (preferred).
- Previous experience in a medical office or healthcare setting (an asset).
✅ Technical Skills:
- Proficiency in EMR systems (OSCAR Pro).
- Strong computer skills (Microsoft Office, scheduling software).
✅ Soft Skills:
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to work in a fast-paced medical environment
