Franklin & O'Brien Legal Services is a law firm based in Montreal, Quebec, with a vast network of clients and partners worldwide. We provide commercial debt collection legal services to creditors and collection agencies all over the world, on a contingency fee basis, both in Canada and worldwide.
We are seeking a detail-oriented and organized Legal Assistant to join our dynamic legal team. The ideal candidate will provide essential support to our team by managing administrative tasks, making payment follow ups to debtors and clients, opening and closing files, drafting legal documents, overseeing accounts receivable and payable and more. This role requires a proactive individual who can handle multiple responsibilities while maintaining a high level of professionalism and confidentiality.
Profile
- Self-motivated and disciplined worker.
- This is a fully remote position, but we are looking for a team player, as we collaborate with one another on most aspect of claim work.
- Facility learning new technologies and software. Our firm's filing and general case work system is a cloud based platform. We also use Microsoft suite (Excel is important).
- Tenacious and performance driven. Our business model is entirely a results-driven one. The more we collect for clients the more we (you) earn.
- Candidate MUST have a quiet, secure, office space.
Duties
- Debt collection work, including opening and closing files, assisting attorneys in contacting debtors and securing payment of debts owing to clients, including preparation and serving demand letters, follow-ups with debtors, calls, email and texts to debtors, regular reporting to clients and so on.
- Liaison work between our firm and several agent law firms assist the firm with collection cases across Canada and worldwide.
- Draft settlement agreement and track debtor payments (settled files) on our case management portal (CMP Pro).
- Handle invoicing, accounts payable and receivables for the firm. Make payments to agent firms and clients using ScotiaConnect and WISE (calculating currency exchange rate and fees) using the most cost-effective payments options.
- Support project management efforts by tracking deadlines and ensuring timely completion of tasks.
- General office administration, including overseeing special projects and improving best practices and initiatives to save cost and improve results.
- Attending at the firm's PO Box (on Decarie) to collect mail and deposit incoming cheques twice per week.
- Daily reporting (to the firm's external bookkeeping and account firm) of all entries and exits of funds from the firm's operating and trust accounts, so that all accounts are balanced and all is posted in Quickbooks.
- Provide clerical support including answering phones, responding to emails, and managing correspondence.
- Other legal and administrative functions.
Skills
- Strong administrative skills with proficiency in office software applications.
- Excellent clerical skills with attention to detail in data entry and document preparation, in English and French (fluently bilingual) .
- Proficient in legal drafting with a solid understanding of legal terminology.
- Strong writing skills for drafting correspondence and summarizing case information.
- Effective project management skills to prioritize tasks and meet deadlines efficiently.
- Experience with accounts payable and receivable and bookkeeping.
