We are currently looking for a Legal Administrative Assistant to join our Corporate Service Department, support our Corporate Law Clerks, and invite you to review the job description. This is an in-office role.
Responsibilities and Duties
- Fully support and assist corporate law clerks in managing their practice;
- Maintain records of all client files, related records and general files;
- Edit, format, print and revise letters, memos, reports, forms, labels using Microsoft Office;
- Perform a variety of routine tasks as well as special projects as required;
- Manage the email requests from clients and lawyers and assist with the mandating of the requests;
- Create, enter and manage all corporate information and documents in the corporate database;
- Ensure that all signed documents are reviewed, dated and filed into the virtual minute book and updating the information as required;
- Prepare and draft Schedule II Ownership Forms as requested by the responsible law clerk;
- Prepare share certificates;
- Prepare certain corporate filings required to update public record, including Notice of Change, Ontario annual returns, etc.;
- Conduct corporate searches, prepare and compile reports;
- Perform administrative and related duties as assigned and to assist others in the department as required; and
- Other duties as required.
Qualifications and Skills
- Minimum of 5 years’ experience in a Legal Administrative Assistant position;
- Formal Legal Assistant, Law Clerk or Paralegal education and training an asset;
- Advanced PC skills, particularly with Microsoft Office Suite (Word, Excel, etc.);
- Able to handle a demanding position with flexibility for occasional overtime;
- Strong attention to detail;
- Able to use good judgment and maintain professionalism;
- Able to ensure utmost confidentiality and use of discretion at all times;
- Dedicated to providing quality service to clients and consistently meet expectations by providing service beyond expectations;
- Excellent communication and interpersonal skills with ability to listen effectively, respond appropriately, and maintain mutual comfort level while relating to a diverse group of individuals;
- Strong ability to perform well and be unfailingly diplomatic in a high-pressure environment with multiple clients;
- Able to remain productive within a time-sensitive and fast-paced environment;
- Excellent organizational and time management skills;
- Proven problem-solving skills with the ability to visualize and deliver creative solutions;
- Ability to multitask, establish priorities, work independently, and proceed with objectives under minimal supervision; and
- Ability to maintain excellent working relationships with all staff.
