What you will do…

The Intake Worker is responsible for the intake of clients and will deliver quality service within a fast-paced and target-driven environment. This role will be in charge of accurate records keeping and data entry. This important work will help us highlight the value that immigration brings to Waterloo Region.

  • Provide a warm, respectful, and inclusive front-line service to clients and visitors.
  • Respond to general inquiries in person, over the phone, and by email.
  • Direct incoming calls appropriately and record messages for staff and clients.
  • Accurately enter and upload client data into OCMS, HARTs, and other systems
  • Book, cancel, and manage client appointments using internal scheduling tools and databases.
  • Monitor referral platforms and distribute referrals to relevant internal programs and staff (e.g., Settlement Workers, Language Services, School Settlement Workers, Employment Case Managers).
  • Create and maintain client files, ensuring confidentiality and data integrity.
  • Review data for errors or deficiencies; correct and verify outputs to ensure compliance with policies.
  • Use office equipment to scan and photocopy immigration documents as required.
  • Assist with internal reporting through established systems.
  • Collaborate with internal teams and external partners to ensure smooth service delivery.
  • Participate in outreach activities and community events to promote YMCA programs.
  • Represent the YMCA at meetings, case conferences, and professional development opportunities.
  • Perform other duties as assigned

What you will bring….

Ideally you would have 2-3 years of employment services or social services experience. Completion of Community College degree/diploma in Human Services and knowledge of Microsoft Office. Knowledge of immigration categories and eligibility for language training would be an asset.

In this role, you will work directly with client information so previous experience working with confidential data and client information is strongly preferred accompanied by strong oral and written communication skills. We are a very diverse and multicultural office, so a second language would be an asset.
