Job Summary
Answer all telephone inquiries in a friendly, courteous manner, directing caller to appropriate receiver. Take messages when necessary. Answer calls from both external and internal sources and direct them accordingly. Assist customers (both by phone and physically at the reception counter) by having their request directed to the appropriate person. Complete administrative tasks. Interchange job positions between receptionist and hostess when required.

What you offer
Job Duties:
- Arrive with time allowed for exchange of information from Managers on shift about events or situations affecting upcoming shift (i.e. shift changes, who is in or out and expected time of return, scheduled appointments or expected customer calls, tasks that may need completion or assistance in completion, etc.).
- To present yourself in a respectable manner, greet customer’s appropriately and willingly with a smile.
- Organization of “Up” rotations for each sales person.
- Answer all inquiries promptly in a courteous manner. Calls should not be ignored for any length of time.
- Page or direct calls to voice mail if individual is not available or take a message as per customer request.
- Must be made aware of the names of all employees, and keep up to date as to the shifts and schedules of employees in order to direct calls.
- Remain organized so as to be able to inform others (callers or other managers or employees) of staff and/or shift changes, absences, etc.
- Reduce the amount of time customers are on hold by answering calls in a timely and efficient manner. To diplomatically place longer conversation calls on hold or re-direct so that service to other incoming calls not be affected.
- Record in the New Car Register, all incoming inventory vehicles as they arrive from the Prep Shop. Make file folders for all information, this will arrive for each vehicle, and then give to the inventory clerk.
- Record all sold vehicle customer information in the New Car Register.
- Report to management any circumstance or condition that compromises the integrity or safety of the dealership, personnel, or customers.
- Achieve the objectives set by management.
- Show common courtesy to all customers and dealership personnel.
- Maintain a good work attitude and cooperate with the managers and fellow employees in the positive spirit of teamwork.
- Produce quality work that evidences pride of workmanship. Maintaining the workspace assigned in an organized, clean and safe manner.
- Any other duties, as assigned.
The successful candidate will have the following:
Education and Qualification
- Completion of Secondary School – (Grade 12)
Language
- Fluent in English, oral and written
- Bilingualism, an asset
Experience
- Previous switchboard, typing and data entry experience
Skills & Abilities
- Mature personality and sound judgement skills
- Effective communication skills are required to deal with Managers, customers, and other dealership personnel on a regular basis
- Good initiative, ambitious
- Good Pronounced Telephone Voice
- Friendly and pleasant disposition, including willing and able to smile warmly to all customers being greeted or assisted
- Ability to work in a fast-paced environment and work on several projects simultaneously ensuring attention to detail
Schedule:
Monday – Friday: 10:00am-6:00pm
Pay Structure:
$18.00 per hour
