We're looking for (Part-Time/Casual) experienced, mature Concierge Staff to join our team of Professionals. The right candidate will have previous Reception experience and must excel in a seniors living environment. Reports to: General Manager and/or Office Manager
Qualifications:
1. Previous employment in a health care/hospitality setting an asset.
2. Demonstrated understanding of/empathy for the needs of seniors.
3. Reception/Administrative skills and experience with office procedures required.
4. Knowledge of and previous experience with office equipment.
5. Ability to speak read and write English (and French if applicable). Must be able to follow oral and written directions and to do simple arithmetic calculations.
6. Patience, tolerance and politeness when responding to residents and visitors to the residence.
Physical Demands:
1. Sitting for extended periods at a desk for computer/typing work.
2. Standing for extended periods of time as required.
3. Walking short distances and up/down staircases.
4. Typing and/or use of a computer keyboard proficiently.
5. Pulling/pushing/lifting to open and/or relocate binders, carts, etc. up to 10lbs.
6. Reading/seeing documentation both in paper format and on a computer screen for extended periods of time.
7. Hearing differences in phone ring tones and/or in fire system horns or alerts for emergency response purposes.
8. Speaking/communicating in front of audiences.
Responsibilities:
1. Provide full administrative support for the General Manager and other supervisory staff for the residence.
2. Provide initial face-to-face and telephone contact with visitors. Provide direction to visitors and callers and/or notify appropriate people as required.
3. Provide personal and telephone contact with residents. Attend to the needs of the residents and/or notify appropriate people as required.
4. Maintain confidentiality of all financial, personnel and resident data.
5. Be knowledgeable of and practice residence's fire and safety programs.
Job Description - Administrative:
1. Type correspondence including confidential material. Compose correspondence that does not require General Manager’s attention.
2. Organize workflow through administrative office. Coordinate meetings and schedule appointments as required.
3. Complete routine forms as required or directed. Maintain current knowledge of information required by various government or other agencies regarding residents.
4. Order office supplies from designated suppliers.
5. Maintain internal records and prepare internal reports for residence as required.
6. As directed, carry out administrative functions such as staff scheduling, placement of residents, placing advertisements, etc.
Job Description - Front Desk Reception:
1. Greet visitors; determine purpose of visit and direct visitors to proper location as appropriate. Inform staff of visitor’s arrival.
2. Answer telephone. Place outgoing calls as requested.
3. Maintain records as required (e.g. telephone logs). Perform incidental clerical work as time permits.
4. Handle payments from residents or family members, only as directed by the General Manager.
5. Sort incoming daily mail for distribution to residents and all departments.
6. Prepare and dispatch outgoing mail daily.
7. Present a positive image of the residence to the public.
8. Observe the comings and goings of residents from the residence.
Job Description: Risk Management and General Safety
1. Partners with community team to ensure community is in compliance with Occupational Health and Safety requirements and promotion of Risk Management programs and/or policies; adherence to safety rules and regulations.
2. Practices safety procedures at all times including Personal Protective Equipment (PPE), fire safety procedures including extinguishers (as applicable), SDSs (Safety Data Sheets) and Lockout Tagout procedures.
3. Reports all accidents/incidents immediately.
4. Reports all unsafe and hazardous conditions/equipment immediately.
5. Complies with all infection control techniques, placement of biohazard containers and removal techniques, procedures and policies.
6. Participates in Fire Safety and Mock Disaster procedures.
