We are a small, dynamic Executive Team of three who move fast, think big, and need someone who can keep pace. We’re looking for a versatile, resourceful right-hand who can juggle project assistance, office management, and executive support — and who’s happy to wear a lot of hats.
Position Overview:
You’ll be the go-to problem solver for our leadership group — handling everything from spreadsheets and expense tracking to organizing the office, coordinating with vendors, and pitching in on key projects. When needed, you’ll also manage calendars, book travel, and handle correspondence. If you thrive on variety, work well with changing priorities, and take pride in making your bosses’ lives easier, this role is for you.
Responsibilities:
- Manage expense tracking, receipts, and reimbursements (Excel and other tools)
- Assist with special projects — research, presentations, reports, events
- Create and maintain spreadsheets, trackers, and databases
- Maintain organized digital and physical filing systems
- Order and maintain office supplies, snacks, and equipment
- Coordinate with cleaners, maintenance, and other service providers
- Manage and coordinate executive calendars, appointments, and meetings
- Arrange domestic and international travel (flights, hotels, itineraries)
- Handle incoming and outgoing correspondence
- Be a flexible “extra set of hands” wherever the executives need support
Qualifications:
- Prior experience as an Executive Assistant, Office Manager, or in a similar “do-it-all” role
- Strong Excel and data management skills
- Exceptional organizational skills and attention to detail
- Strong problem-solving skills and ability to work independently
- Tech-savvy (Microsoft Office and/or Google Workspace; willing to learn new tools)
- Comfortable managing confidential information
- A can-do, no-task-too-small attitude
Job Types: Full-time, Permanent
Pay: $18.00-$21.00 per hour
Expected hours: 34 per week
