Job Summary
We are seeking a highly organized and detail-oriented Executive Assistant to support our executive team. The ideal candidate will possess strong administrative skills and a proactive approach to managing tasks. This role requires exceptional communication abilities, proficiency in various software applications, and the capacity to handle multiple priorities in a fast-paced environment.
Responsibilities
- Provide comprehensive administrative support to executives, including managing schedules and appointments using Zoho Calendar.
- Maintain accurate records through data entry, filing, and bookkeeping tasks as well as job costing.
- Handle customer service inquiries with professionalism and courtesy, ensuring a positive experience for all stakeholders.
- Manage multi-line phone systems, demonstrating excellent phone etiquette while directing calls appropriately.
- Prepare documents and presentations using the Zoho suite of products, ensuring accuracy through proofreading.
- Coordinate travel arrangements and itineraries for executives as needed.
- Assist with the preparation of reports and financial documents utilizing Zoho Books for bookkeeping purposes.
- Support front desk operations by greeting visitors and managing incoming correspondence.
- Collaborate with team members to streamline office processes and improve organizational efficiency.
Experience
- Proven experience in an administrative or clerical role, with a strong emphasis on organizational skills and attention to detail.
- Proficiency in the Zoho Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with Zoho Books for financial management is preferred but not required.
- Strong typing skills with an emphasis on accuracy in data entry tasks.
- Previous experience in customer service roles is highly desirable.
