We are seeking a Design Project Coordinator & FF&E Administrator to join our dynamic team. This role is essential in keeping our projects running smoothly—on time, on budget, and aligned with the creative vision of our Principal Designer.
Requirements
- 2+ years of experience in interior design, procurement, or project coordination preferred.
- Knowledge of FF&E sourcing and specifications strongly preferred.
- Exceptional organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office, Excel, and design project management software.
- Ability to multitask and manage shifting priorities in a fast-paced creative environment.
- Self-starter with a proactive, problem-solving mindset.
Responsibilities
Project & FF&E Coordination
- Coordinate project timelines, procurement orders, trade schedules, and vendor communication.
- Source, specify, and purchase FF&E, building materials, finishes, and lighting in line with design direction.
- Create and manage project and FF&E budgets; track orders and deliveries.
- Maintain organized records, including quotes, specifications, and client files.
- Oversee sample library: update materials, schedule rep visits, and file new items.
- Liaise with suppliers for pricing, samples, and order status.
- Track billable hours and support documentation for invoicing.
- Ensure timely execution of project milestones and support design team in aligning selections with aesthetic and functional goals (In collaboration with a Senior Designer).
Shared Administrative Responsibilities
- Welcome clients and guests at the front desk; handle incoming calls and general inquiries.
- Manage daily mail, deliveries, and couriers.
- Ensure office space is well-maintained and supplies are stocked.
- Schedule meetings, appointments, and transportation for the Principal Designer.
- Assist with time tracking and input into the studio’s billing system.
- Support documentation and meeting prep for the Principal Designer.
- Handle general clerical duties such as filing, photocopying, and managing email correspondence.
- Respond to initial inquiries from potential clients and assist with client intake process.

Job Types: Full-time, Permanent
Pay: $55,000.00-$65,000.00 per year
