Introduction

The Dental Office Manager is responsible for enhancing operational efficiency, hiring and staffing, assessing reports and financial performance, human resources management, sales and marketing efforts, and practice growth. We are seeking an innovative individual with a proven track record of successful experience managing and growing dental offices with comprehensive dental office management knowledge. We are a large busy multi-practitioner practice with a large staff and patient base, so experience managing a large dental practice is critical.

The ideal candidate will have the following management responsibilities:

Operational

- Appointment scheduling management, ensuring the practice is operating at a high level continuously while minimizing clinician downtime and focusing on increasing new patient inflow while prioritizing exceptional customer service at all times.

- Adherence to industry best practices to ensure the highest standard of patient care and operational efficiency.

Financial

- Review of accounts with the Accounts Receivable Department and address issues.

- Verification of billings for accuracy for all providers.

- Provision of regular financial reports tracking practice performance and identifying areas for improvement.

- Ongoing analysis of monthly practice monitors/reports to identify areas of opportunity and ensure adhering to industry standards.

- Review of Profit and Loss statements.

- Budget creation and financial forecasting planning for growth and setting targets and goals.

Human Resources (HR):

- Ensuring the highest quality of customer service at all levels.

- Job postings, hiring, staffing, conducting interviews, reference checks, and background screenings.

- Orienting new employees.

- Managing recruitment to attract and retain qualified dental professionals and support staff.

- Providing ongoing training and development opportunities to enhance staff skills and performance.

- Implementing performance management systems to evaluate and improve employee performance.

- Setting clear goals for staff.

- Addressing employee concerns while fostering a positive work environment.

- Ensuring compliance with labor laws.

- Developing and implementing HR policies and procedures to manage employee behaviour and performance.

- Monitoring daily the progress of the clinic and evaluating for improvements, making adjustments as necessary.

- Employee communication, feedback and satisfaction.

- Disciplinary procedures.

- Managing performance issues.

- Leave management (sick leave, vacation, parental leave).

- Performance appraisals and reviews.

- Recognizing and rewarding high performance.

- Providing corrective actions for deficient performance.

- Developing and implementing performance improvement plans.

Sales and Marketing

- Developing marketing strategies to attract new patients monthly and retain existing ones, increase the number of new patients to the practice.

- Utilizing digital marketing channels to increase the practice’s online presence.

- Developing patient engagement strategies to enhance patient satisfaction and loyalty.

- Prioritizing patient customer care as the most important factor.

Optimizing Growth Potential

- Strategic planning to guide ongoing practice growth and expansion while implementing technologies to improve patient care and overall practice efficiency.

Renumeration:

$130,000 per annum. This is a full time in-office position.
