Basinview Dental Centre is looking to hire an administrative assistant to its busy dental practice. A full- time position is available Monday to Thursdays 8:00AM to 4:30PM and select Fridays 8AM to 12:00pm.

Administrative Assistant Role:

Administrative staff must be friendly and welcoming individuals that provide a level of comfort to patients. They are required to be consistent and efficient in completing necessary tasks and show a high level of organization. They are expected to be reliable, punctual, tolerant and determined.

Administrative staff are trained in the use of computer software pertaining to the dental office and are capable of emailing, faxing, forwarding, and scanning any important documents regarding a particular patient.

Administrative staff are expected to have excellent communication skills while being empathetic and understanding. At all times, staff are required to represent Basinview Dental Centre in a professional manner and maintain patient and office confidentiality.

Administrative Assistant Responsibilities:

· Answering incoming telephone calls, emails and texts promptly.

· Making outgoing calls or sending text/email appointment reminders

· Booking and managing schedules for the dentist and hygienists.

· Filling schedule gaps or openings; strategizing and coordinating the schedule to improve efficiency.

· Greeting, seating and accommodating patients.

· Scanning and purging documents/ patient files.

· Processing insurance claims, collecting payment.

· Providing treatment plan estimates and collecting payments.

· Ensuring all patient contact information is up to date.

· Booking subsequent appointments for existing patients.

· Scanning patient paperwork.

· Sending referrals.

· Creating and sending pre-determinations on behalf of patients for insurance inquiries.

· Entering electronic payments.

· Maintaining cleanliness of waiting area and patient washrooms.

· Completing end of day reports

Requirements:

· A positive, friendly attitude and willingness to learn

· Excellent time management skills and the ability to prioritize work

· Attention to detail and problem-solving skills

· Strong organizational skills with the ability to multi-task

· Excellent written and verbal communication skills

· Working knowledge of office equipment, i.e. printer and fax machine

· Proficiency in MS Office and Outlook

· Experience and/or qualification as an Administrative Assistant or Secretary will be a plus

Pay: $40,000.00-$50,000.00 per year
