TapLabs is an innovative mobile health business delivering professional laboratory test services to a wide range of patients, medical clinics and corporate partners in Calgary, Alberta. TapLabs provides on-site collection of routine lab tests and private diagnostic tests to patients in the comfort of their home or office.
We are seeking a personable, proactive, and highly organized customer service representative who is dedicated to delivering exceptional service to our clientele and executing various administrative duties to support day-to-day business operations. This is a predominantly independent, work-from-home position offering competitive compensation and an opportunity for long-term growth and career development.
Position Type: Full-time, 1 year contract with potential for extension
Start Date: Immediately
Key Responsibilities:
Handle Customer Inquiries: Answer incoming phone calls and respond to email inquiries promptly and professionally, addressing customer questions, concerns and requests with empathy and accuracy. Respond to business leads and alert owner of inquiries regarding potential partnerships.
Schedule Appointments: Coordinate and book customer appointments using scheduling software, ensuring optimal availability and providing appointment details to mobile team to minimize conflict and ensure successful completion of service appointments.
Mobile Team Point-Person: Act as a liaison to mobile lab technicians on the road to provide assistance as needed and respond to scheduling conflicts, e.g. appointment delays, no-shows, service add-ons, refunds, sending fax lab requisitions.
Administrative Duties: Oversee invoicing processes including preparing, sending and tracking invoices via QuickBooks, issue customer receipts as requested, manage lab supply inventory, issue quotes on private testing, assist with scheduling shifts and address absences, generate reports on customer interactions or service metrics, as needed.
Skills & Qualifications:
Communication Skills: Proficient in English with excellent verbal and written communication abilities. Convey information clearly, promptly and professionally, listen actively and adapt tone to diverse customer needs.
Technical Proficiency: Familiarity with customer relationship management (CRM) systems, email platforms, scheduling tools, and Microsoft Office, especially Excel. Eperience with QuickBooks is a plus.
Organizational Abilities: Strong multitasking skills to manage call volumes, emails and administrative tasks simultaneously while maintaining attention to detail and accuracy.
Problem-Solving: Ability to assess customer issues quickly, provide efficient solutions, and troubleshoot scheduling conflicts with tact and composure.
Basic Accounting Abilities: Familiarity with QuickBooks and basic bookkeeping responsibilities is an asset.
