Our leadership team comprises globally recognized concussion researchers and healthcare professionals, including medical doctors, occupational therapists, physiotherapists, and psychologists. We are on the cutting-edge of concussion research by leading the TRANSCENDENT study. This study is establishing one of the largest concussion datasets in the world and is incorporating assessments including physiological evaluations, fluid biomarkers and advanced neuroimaging to improve the diagnosis, treatment, and management of concussion from all causes, across the entire patient spectrum.
We established the first 360 Concussion Care clinic in September 2020 in Ottawa, and we expanded to clinic sites in Toronto in spring 2021 and Mississauga in October 2022.
About the Role
We are seeking a Clinical Operations Manager to oversee the daily operations of multiple clinic locations, driving efficiency, process improvement, and team performance. This role is responsible for ensuring smooth administrative workflows, optimizing resource utilization, and implementing operational strategies that support the organization's goals.
The ideal candidate is a proactive leader who thrives in a fast-paced environment, is highly organized, and excels in time management. They will play a key role in building a strong, high-performing team, fostering collaboration across departments, and ensuring consistent operational excellence.
This position works closely with the Clinical, Human Resources and Finance teams while reporting to the VP of Operations.
Key Responsibilities
Multi-Location Operations & Efficiency
- Oversee daily operations across three clinic locations, ensuring consistency and efficiency.
- Optimize patient scheduling and provider availability to reduce wait times and improve patient flow.
- Identify and resolve operational inefficiencies, implementing best practices to streamline workflows.
- Maintain adequate inventory of medical and administrative supplies across all locations.
Administrative Team Leadership & Support
- Serve as the primary contact for operations team, providing real-time guidance and problem-solving.
- Enforce standard operating procedures (SOPs) to ensure consistency across locations.
- Conduct routine meetings with the operations team to address concerns and drive improvements.
Patient Experience & Care Coordination
- Oversee patient intake, check-in, and discharge processes to ensure a seamless experience.
- Address and resolve escalated patient concerns professionally and efficiently.
- Collaborate with physicians and clinicians to ensure smooth operational support.
- Monitor patient feedback and implement improvements to enhance satisfaction and service quality.
Compliance, Quality Control & Safety
- Conduct regular audits of administrative processes, patient records, and billing accuracy to ensure compliance.
- Ensure adherence to healthcare regulations and accreditation standards.
Financial & Resource Management
- Work with HR and finance teams to manage clinic budgets and track expenditures.
- Identify cost-saving opportunities while maintaining high service standards.
- Collaborate with billing teams to ensure accurate and efficient insurance claims processing.
- Drive operational strategies to achieve clinic revenue goals.
Technology & Systems Oversight
- Ensure proper use and optimization of electronic medical records (EMR) systems.
- Implement digital solutions to streamline scheduling, communication, and patient follow-ups.
Facility & Vendor Management
- Oversee facility maintenance, cleanliness, and safety across all locations.
- Manage relationships with vendors for medical and office supplies to ensure cost-effective purchasing.
- Coordinate with landlords to address facility-related needs.
Communication & Collaboration
- Act as a bridge between administrative teams and executive leadership to align on business goals.
- Ensure clear communication of policy updates, procedural changes, and operational improvements.
- Foster a collaborative and team-oriented work environment.
Qualifications & Requirements
- Education: Bachelor’s degree required
Experience: 5 years in clinical operations, healthcare administration, or a related field.
- Skills: Strong leadership, problem-solving, organizational, and communication skills. Ability to analyze data and drive operational improvements.
- Technical: Familiarity with EMR systems and digital healthcare solutions.
- Travel: Ability to travel to multiple locations as required for site visits including Ottawa & Mississauga.
- Other: Strong knowledge of healthcare regulations, accreditation standards, and best practices.
