Position Overview
The Remote Assistant Manager will play a pivotal role in supporting the day-to-day administrative and operational functions of the medical centre. This individual will work closely with the Centre Manager and clinical staff to ensure smooth operations, enhance patient satisfaction, and improve administrative efficiency. The ideal candidate is a proactive problem-solver with excellent communication skills and a strong understanding of medical office procedures.
Key Responsibilities
Operational Support:
- Assist the Centre Manager in developing, implementing, and monitoring operational policies and procedures.
- Manage and coordinate online scheduling systems for patient appointments, optimizing provider calendars.
- Handle patient inquiries and concerns remotely via phone, email, and chat, providing exceptional service.
- Oversee medical records management, ensuring strict confidentiality and compliance with HIPAA regulations.
Administrative Management:
- Coordinate with billing and coding specialists to support accurate and timely claims processing.
- Assist in inventory management for office and medical supplies, placing orders with vendors as needed.
- Prepare and distribute reports on key performance indicators (KPIs) such as patient volume, revenue, and satisfaction.
- Manage virtual communication channels and ensure information flows efficiently between remote staff and on-site teams.
Team Coordination:
- Provide remote supervision and support to administrative staff, including receptionists and medical secretaries.
- Assist in organizing and facilitating virtual team meetings and training sessions.
- Act as a point of contact for staff, addressing questions and helping to resolve issues.
Patient Experience:
- Develop and implement strategies to improve the patient journey, from initial contact to follow-up.
- Analyze patient feedback and suggest improvements to services and processes.
- Ensure all patient interactions are handled with empathy, professionalism, and discretion.
Job Types: Full-time, Part-time
Pay: $27.75-$38.21 per hour
Expected hours: 25 – 40 per week
