Assistant Building Manager | Job Description
Primary Purpose
The Assistant Building Manager plays a key role in supporting the Building Manager with the day-to-day operations, maintenance, and resident relations of the property. This includes delivering hospitable and professional concierge services, coordinating contractors, responding to tenant requests in a timely manner, and ensuring the safety and wellbeing of residents. The Assistant Building Manager is also responsible for maintaining the building to a high standard and plays an active role in leasing vacant suites to help maintain high occupancy while fostering a welcoming and professional environment for current and prospective residents.
Specific Responsibilities
The Assistant Building Manager will at various time be responsible for the following as well as other related duties as assigned to support the business objectives and purpose of the Company:
Concierge
- Greet residents with courtesy and respond to tenant requests in a timely manner
- Assist with package retrieval and delivery from couriers
- Coordinates move-ins and move-outs with the Building Manager, booking amenities including elevator, and trade access with the Building Manager
Rental Management
- Advertise, set appointments, provide tours, and complete interviews to achieve 100% occupancy
- Manage the rental process for all tenants including all required paperwork for the rental of suites, permission of pets (if allowed), rental of parking and/or storage lockers
- Complete move-in and move-out condition reports
- Accurate collection of rent (by cheque only, all cash transactions to be at Head Office only)
- Deliver cheques to head office daily (cheques may not be held and uncashed for over 2 days)
- Deliver late rent notices, eviction notices, and any other notice required by Head Office
- Prepare, draft, and post notices, compile evidence for arbitration and attend arbitration if necessary
- Complete and maintain tenant files; contractor files; general files including working with parking management company (if required) to maintain parking stall list
- Program and maintain all access keys/fobs to building(s)
Additional Responsibilities:
- Manage and coordinate community events for building(s) as assigned by the residential team
- Provide relief coverage for the team – statutory holiday coverage or general vacation coverage.
Building Management
- Collect receivables in a timely manner and work with property manager to collect outstanding balances, issue required forms, prepare for dispute resolution proceedings, and take necessary legal actions.
- Manage occupancy, show suites and implement tenant retention strategies to optimize occupancy and revenue for the property
- Assist with preparation, review, and distribution of monthly financial reports
- Review, code, and track invoices in a timely manner to relevant contractors and properties, and request adjustments to invoices as may be required
- Prepare welcome packages, tenant correspondence, notices and other documentation as may be required
- Actively monitor deficiencies in suites, common areas, mechanical and safety systems are maintained, energy-efficient, and environmentally sustainable.
- Conduct regular property inspections including rental units at move-in, move-outs, and coordinate other maintenance required as appropriate.
- Maintain, ensure compliance, coordinate, and execute initiatives related to insurance/risk management, incidents, claims, legal files, and environmental/energy conservation programs.
- Coordinate with property manager and maintain community in accordance with annual approved budget for approved capital improvement and repair projects, communicate with stakeholders, and ensure projects are completed on budget.
Other Responsibilities
- Act as Warrington PCI Management’s representative in meetings, community events, and tours of the building
- Create and maintain an inventory list
- Maintain good relationships with contractors and tenants and respond professionally and efficiently to their requests
- Liaise with Property Manager and Property Administrator as required
- Any other duties as required from time to time
- Ensure compliance on WorkSafeBC including trades
Qualifications
To be successful in the Assistant Building Manager position, an individual must be committed to developing, maintain and demonstrating the following:
Education and Experience
- Degree or diploma in a related field, with a preference for RMTI certificate or PAMA Rental Building Management Certificate
- Minimum three (3) years of related experience in commercial property maintenance and/or residential experience
- 5th class ticket or willingness to work towards it an asset
- Strong working knowledge of the Residential Tenancy Act
- Fluent in English, both written and verbal. Fluency in another language an asset
- Proficient in Microsoft Office applications, particularly in Microsoft Outlook, Excel and Word
- An established track record of excellent customer service

- Knowledge of Occupation Health & Safety
- Ability and knowledge to safely work with basic tools and chemicals used in building operations
- Ability to work in a flexible schedule including evenings and weekends
- Ability to complete the above tasks which may include lifting, pushing or pulling up to 50lbs
- Ability to spent up to 8 hours walking, standing, climbing stairs, and/or lifting.
- Ability to work in variable environments including dust, warm or cold temperatures.
