Role Summary
The Administrative Manager provides high-level administrative and executive support to the CEO while ensuring the smooth operation of organizational processes. The position oversees office administration, contractor and vendor management, internal communications, and supports staff coordination. It also plays a key role in improving operational workflows, managing budgets, and contributing to project and fundraising activities.
Responsibilities
- Acts as the executive assistant to the CEO, providing high level administrative, technical and clerical support to the CEO with ability to maintain strict confidentiality
- Managing schedules, coordinating meetings, handling communications, and organizing events including supporting internal communications and distributing memos or updates to staff
- Manage contractor relationships and services, including sourcing, and overseeing third-party vendors to ensure timely, cost-effective, and mission-aligned delivery of services such as maintenance, repairs, security, and specialized projects.
- Maintain and manage organizational inventory supply, support document filing, monitoring and responding to general inquiries via phone, email and in-person
- Responsible for providing administrative services and ensuring smooth and efficient administrative processes within Surrey Urban Mission Society.
- Overseeing administrative staff, including supporting the employee life cycle (hiring, training, managing, termination)
- Analyzing existing administrative workflows and identifying areas for improvement and in consultation with the CEO, implementing new procedures and systems to enhance efficiency
- Managing budgets for supplies, equipment, and other administrative needs
- Creating and providing regular reports and updates to management on administrative activities, performance and budgets
- Implement and maintain operational processes and best practices that drive productivity
- Supports fundraising activities within the organization
- Supports project management processes and workflow designs across the organization for various activities
Qualifications & Experience
- Bachelor’s degree in business administration, Finance, Healthcare Management, or a related field (or equivalent work experience).
- Minimum of 3-5 experience, ideally in the non-profit sector or community service setting
- Strong business acumen with proven experience in preparing and analyzing P&L reports, budgeting, and understanding business expenses.
- Exceptional communication and leadership skills
- Demonstrated ability to build and maintain strong relationships with clinicians and staff.
- Proven track record of meeting and exceeding goals and quotas.
- Experience in identifying and implementing growth opportunities.
- Willingness and ability to travel frequently across BC.
- Highly organized, detail-oriented, and capable of managing multiple projects and priorities simultaneously.
- Strong problem-solving and strategic thinking abilities.
Training & Development
- Training may be eligible to candidates and is contingent upon funding. A 2-year return of service agreement upon conclusion of training is required if provided.
