THE ROLE

Are you an experienced administration professional passionate about helping others succeed in the wealth management space? CU Financial Management is seeking an Administrative Associate to become a valuable member of our team.

In this role, you’ll work closely with our Regional Financial Planners in Nova Scotia, providing exceptional administrative and project support. With offices in Bedford, Waterville, Antigonish, Truro, and Port Hawkesbury, your primary location will be office-based, depending on your location. We also offer flexible work-from-home options to support work-life balance when scheduling allows.

The ideal candidate will excel at coordinating office tasks, possess exceptional organizational skills, and demonstrate outstanding communication abilities. You'll thrive in a role that involves interacting with clients and executing administrative responsibilities with precision and efficiency.

KEY RESPONSIBILITIES

  • Schedule appointments, prepare meeting materials, address inquiries, follow up on referrals, and provide information about CU Financial Management wealth services to members and the public.
  • Input financial plan data, format proposals, and process product applications efficiently.
  • Maintain organized files and records using digital filing systems.
  • Adhere to office workflow procedures to maximize efficiency.
  • Prepare activity reports for the Financial Advisor.
  • Handle incoming and outgoing mail and manage courier and fax communications.
  • Assist in cultivating strong relationships with members, management, and staff.
  • Collect and manage various internal documents and forms as needed.
  • Uphold our policies and procedures, contributing to a safe and healthy workspace.
  • Undertake additional duties and projects as assigned.

MINIMUM QUALIFICATIONS, SKILLS AND EXPERIENCE

  • High school diploma with additional post-secondary education in an office careers program.
  • Minimum of two years of experience as an Office Coordinator or similar administrative role.
  • Completing the Canadian Securities Course or committing to complete it within one year of joining is preferred. Additionally, the Canadian Investment Funds Course and Life License are considered valuable assets.
  • Proficiency in MS Office with a working knowledge of office equipment and personal computers.
  • Strong technological aptitude and a forward-thinking mindset.
  • In-depth understanding of the investment and insurance industry, with familiarity of the Canadian Credit Union system (highly desirable)
  • Possesses a growth mindset, strategic thinking abilities, self-motivation, exceptional time management skills, a team-oriented approach, excellent communication skills (verbal, written, and virtual), strong relationship-building and partnership skills, and exceptional organizational capabilities.
  • Ability to work independently in a fast-paced environment.
  • Demonstrates tact and discretion in handling confidential and sensitive information.
