Job Description
We are currently recruiting for a full-time Administrative Assistant to join the Direct Private Equity (DPE) Team in Toronto. The Administrative Assistant will report to the Managing Director and will be responsible for providing day-to-day administrative support including managing travel, calendars, meetings, expenses, events, presentations, correspondence and departmental initiatives for a part of the team.
Team Description
The Administrative Assistant will join the Direct Private Equity team within their broader Private Equity group that also invests in funds, growth equity, secondaries and co-investments. CPP Investments' DPE group manages a ~C$50 billion portfolio of direct private equity investments in Europe and North America managed by of ~50 investment professionals across London and Toronto.
Accountabilities:
- Managing calendars on behalf of executives, work with other departments’ EAs/AAs to coordinate meeting bookings, including internal and external meeting room bookings, guest registration and catering orders as needed
- Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization.
- Assist with team event planning including off-sites and social events: find venues, coordinate vendor contracts and payment, communicate with department, etc.
- Reconcile credit card expenses and input into our expense reporting system monthly.
- Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.
- Work across departments to coordinate new hire processes and support the on-boarding process for new employees hired to the Direct Private Equity team.
- Be a CPP Investments’ ambassador by playing a key role in representing the investment business in internal and external verbal and written communications. Conduct work in a professional, friendly, easily accessible and approachable manner.
- Provide other general administrative support to a highly performing team of finance/investment professionals in our team, department, and organization.
Qualifications
- 2+ years of experience gained from fast-paced, professional environment
- High school diploma required, college diploma or bachelor's degree preferred.
- Strong communication skills, both written and verbal in English.
- Experience with complex calendar coordination, booking high-profile meetings and events, scheduling travel, and performing the expense reimbursement process.
- Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications, CRM and expense reporting system.
- Requires strong communication skills, both written and verbal
- Team player, eager to learn, adaptable, calm under pressure, and professional.
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
