Administrative Assistant- O.R, Nitrous, and Clinic

Location: Sydney, NS
Core schedule: Monday-Friday (9:00am to 5:00pm). Occasional Evenings and weekends.

The Cape Breton Dental Group is a small group of locally owned and managed dental offices within the CBRM. We have office locations in Downtown Sydney, North Sydney, Sydney Mines & New Waterford.
The opportunity:
The Cape Breton Dental Group is currently looking to hire an Administrative Assistant to join our busy and well established group of practices. The successful candidate will have a passion for building strong patient relationships and contributing to their ongoing oral health.
Responsibilities:
-Manage incoming referrals and get patients in a timely manner
-Maintain up to date patient records (correct date of birth, address, phone number, insurance coverage, health card)
-Discuss patient financial responsibilities to ensure understanding and consent prior to treatment.
-Coordinate patient books with third parties such as O.R. booking and referring offices
-Keep up to date financials through accounts receivable, posting and process payments
-Ensure Post-Op Letters are sent to the referring dentist
-Implement an efficient filing and record keeping system for O.R, nitrous, and clinic.
- Encourage dental patient acceptance of the treatment plan by meeting their needs, answering questions and by creating value for the proposed treatment.
- Greet and assist patients as they arrive; ensure a lasting positive impression for them.
- Responsible for optimizing the appointment schedule by ensuring the day is full, with limited gaps.
- Managing patient calls and inquiries about appointments, confirmations, amendments and cancellations.
- Process referral letters and other patient correspondence upon receipt from provider; manage and file all patient records and charts.
- Present the treatment options, appointment, payment plans, answer questions and overcome objections to motivate patient to case acceptance.
- Build strong relationships with patients to ensure trust and loyalty.
-Keep up to date on billings and accounts receivable
Requirements:
- A minimum 2 years’ experience in Office Administration
- Preference will be given to RDA's with Administration experience, and candidates with dental experience.
- Experience using Dentrix and Recall System Pro would be considered an asset
- Knowledge and understanding of oral treatment plans and ability to educate patients
