Role and Objectives:
Reporting to the Office Manager, the Accounts Payable Clerk, is responsible for managing and processing outgoing payments, ensuring timely and accurate handling of financial transactions for the Kalesnikoff Group. The Accounts Payable Clerk works with vendors, internal departments, and financial systems to maintain
Responsibilities:
Invoice Management:
- Receive, review, and verify invoices for accuracy, completeness, and compliance with company policies.
- Code invoices to the appropriate general ledger accounts.
- Process log payments
- Match invoices to purchase order, contracts, or delivery receipts to ensure proper authorization.
- Process employee expense claims and reimbursements in line with company policies.
Payment Processing:
- Prepare and process electronic payments (i.e., EFT, ACH, or wire transfers) and manual cheque runs.
- Schedule and prioritize payments to ensure timely disbursements and avoid late fees.
Vendor Relations:
- Communicate with vendors regarding payment inquiries, discrepancies, or missing invoices.
- Resolve disputes and ensure vendor accounts remain in good standing.
- Maintain up-to-date vendor records, including banking and contact details.
Reconciliation and Reporting:
- Reconcile accounts payable transactions with the general ledger.
- Monitor and resolve outstanding balances and aged payables.
- Generate AP reports (i.e., payment summaries, aging reports) for management.
Other:
- Maintain organized and accurate records for all AP activities for audit and reporting purposes.
- Support internal and external audits by providing necessary documentation and explanations
- Identify opportunities to streamline and automate accounts payable processes.
- Process cash receipts.
- Provide reception support as needed.
- Understand and comply with all company policies and procedures.
- Other duties as requested or required.
Requirements:
- 1-3 years of experience in Accounts Payable or similar role
- Post secondary education in Accounting, Finance, or a related field
- Experience working with Maximo, Microsoft Dynamics and LIMS
- Proven experience with Microsoft Office Suite, including proficiency in Excel.
- Effective communication skills with individuals at all levels of the organization
- High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts
- Ability to adapt to and learn new software
- Able to work efficiently as a part of a team as well as independently
- Able to work well under pressure and meet set deadlines
- Good organizational, time management and prioritizing skills
- Ability to interpret and implement company policies and procedures
- Attention to detail in all areas of work
Compensation Package:
- Salary: $45,000.00 - $55,000.00
- Schedule: Monday – Friday
