Overview
We are seeking a highly organized and proactive Volunteer Coordinator. The Volunteer Coordinator plays a vital role in building and supporting Ark Aid’s volunteer community. This position is responsible for recruiting, onboarding, and retaining volunteers, as well as ensuring they are placed in roles that align with both organizational needs and the volunteers’ skills and interests.

Key Responsibilities
- Recruit and screen prospective volunteers, including reference checks and required Vulnerable Sector Checks.
- Plan and host monthly volunteer orientations.
- Match volunteers with suitable programs and roles that align with their skills and interests.
- Maintain accurate volunteer files, records, and database information.
- Track volunteer hours and prepare reports as requested.
- Ensure volunteer compliance with Ark Aid’s policies and procedures.
- Prepare reports for the Manager and Executive Director
- Monitor and respond to volunteer inquiries and communications in a timely manner.
- Provide regular updates and information to volunteers.
- Follow up with volunteers and program managers regarding placement, performance, and ongoing support needs.
- Plan and coordinate volunteer appreciation activities.
- Work closely with program managers to identify volunteer needs and ensure appropriate placement.
- Support program managers and volunteers with conflict resolution or concerns.
- Participate in organizational events and activities as required, including fundraising initiatives in a support capacity. Particularly with Fundraising and Special Events.
- Ensure volunteers are oriented to health and safety practices.
- Promote compliance with Ark Aid’s Statement of Faith, values, and organizational standards.
- Report and address any concerns related to volunteer well-being or risk.
Job RequirementsEducation & Certifications:
- Diploma or equivalent education in nonprofit management, human resources, or a related field is preferred.
- 2 years of experience working directly with volunteers preferred
- First Aid Certification (or willingness to obtain)
Experience, Knowledge, & Abilities:
- Previous experience in volunteer coordination or a related field
- Previous experience in Fundraising and Event Planning
- Strong administrative and organizational skills.
- Proficiency in G-Suite and familiarity with databases; experience with volunteer management systems is an asset.
- Excellent communication and interpersonal skills, with the ability to motivate and support volunteers.
- Demonstrated leadership ability and problem-solving skills.
- Must complete a Vulnerable Sector Check prior to employment.
- Passion for volunteer work and commitment to Ark Aid’s Christian mission and values.
- Detail-oriented and able to work in high-pressure situation
Other Requirements:
- Some weekends and evenings may be required
- Ability to be on your feet for long periods of time
- Ability to lift up to 25 lbs
- Applicants must be legally entitled to work in Canada
Working Conditions
The Volunteer Coordinator works in both an office environment and directly within Ark Aid facilities. This role requires a regular presence alongside volunteers in various settings, including donation areas, kitchens, and program spaces. The position also involves close interaction with the community members we serve, many of whom are experiencing vulnerability, marginalization, and complex life circumstances. The work environment is dynamic and can be fast-paced, requiring flexibility, patience, and professionalism. Off-site locations supporting fundraisers and setting up events.
Job Type: Full-time
Pay: From $23.95 per hour
Expected hours: No less than 37.5 per week
