The Burlington Humane Society is a registered charity dedicated to improving the welfare of stray and abandoned dogs and cats in Burlington. Through the generosity of public donations, we provide a safe haven for cats and dogs while working tirelessly to find them loving forever homes.
Summary
The Shelter Assistant is a member of the administration team, along with the Volunteer Coordinator and Events Coordinator. Reporting to the Executive Director (ED), the Shelter Assistant is responsible for assisting various members of Burlington Humane in the carrying out of their duties to ensure the smooth running of the shelter. They assist various team members [Animal Care Supervisor (ACS), Animal Care Workers (ACW), Adoption Counselors (AC) and Events Manager] as required.
Responsibilities
Donation and Membership Responsibilities:
- Account for all donations (cash/debit/credit/Automatic Fund Transfers/PayPal)
- Prepare bank deposit and take to bank.
- Prepare donation tax receipts as appropriate
- Manage and input monthly donors
- Maintain AFT donors and reports
- Maintain current membership listing, send out renewal reminders monthly
- Assist Donation and Membership Director
- Other bookkeeping duties as required
Reception Related Responsibilities:
- Update and maintain contact lists
- Ensure reception volunteer trainers are qualified
- Assist with reception, adoptions, ACWs as required (showing animals as needed)
- Take inventory and restock reception as needed
- Clean reception area, retail shelves, and other areas
BHS Events and Communication Responsibilities:
- Assist in shelter events (i.e., microchip clinics, adopt-a-thons, fundraising events, promotion events etc.)
- Prepare appropriate donation acknowledgement cards and thank you letters
- Assist with the creation of brochures, newsletters and other communications
- Create promotional items as required
Computer Related Responsibilities
- Contribute and maintain the BHS website
- Set up and maintain new and existing email accounts
- Contribute and maintain BHS social media platforms
- Train and monitor volunteer in the use of adoption software.
Other Duties
- Organize foster supplies
- Assist with the foster program (which may include interviewing foster applicants, sending/replying to emails and appointment reminders)
- Post found strays on lost/found pet website
- Perform cat feed and clean and dog walking duties in the event of a volunteer shortage (this is a responsibility of all staff)
- Provide coverage for the AC in the event of vacation and sick days.
- Consult with ACS and complete weekly promotional ads
- Assist in the transportation of animals to and from clinics
- Create, maintain, and photocopy forms used by staff and volunteers
- Maintain storage room with ACWs
- Manage and order supplies as required
- Other duties as required

Requirements
- Strong attention to detail a must
- Demonstrated experience with administrative procedures, processes and standards
- An associate degree in accounting, finance or business or bookkeeping certificate considered an asset
- Excellent computer skills
- Excellent customer service, interpersonal and communication skills
- Ability to use a variety of software programs (Microsoft Office Suite, Database Software, Quickbooks, ShelterLuv, WordPress)
- Self-directed with ability to organize, plan, prioritize and multi-task
- Strong social media and website management skills.
- Flexible, adaptable and responsive to change
- Strong team-work focus.
- Strong analytical and problem-solving skills.
- Ability to work independently.
- Understanding of animal welfare and humane societies.
