The Residential Construction Coordinator provides essential administrative and project support to the Senior Residential Construction Coordinator, Operations Manager and field teams. This role focuses on ensuring smooth coordination of residential waterfront construction projects, including docks, boatlifts, boathouses, shoreline protection, and related marine structures. The Coordinator manages documentation, permits, vendor coordination, scheduling updates, and client communications under the guidance of the Senior Residential Construction Coordinator. This position allows the Senior Residential Construction Coordinator and Operations Manager to remain focused on high-level planning, financial oversight, and client relationship management.
The Construction Coordinator is highly organized, detail-oriented, and proactive — able to balance administrative precision with field awareness. This position plays an essential role in maintaining project flow, supporting leadership, and ensuring client satisfaction.
Primary Responsibilities
Administrative & Leadership Support
- Prepare and maintain master work lists
- Assist with creating work orders, dispatch board updates, and build sheets for shop and field crews.
- Provide administrative assistance to the Senior Residential Construction Coordinator and Operations Manager, including scheduling client meetings, travel, accommodations, and calendar updates.
- Manages project filing systems (paper and electronic), ensuring records are accurate and up to date.
- Supports the residential team with quote preparation and follow-up.
- Coordinates daily dispatching and scheduling process, prepares work orders and answers phones at reception as required
- Provides backup support to the Senior Residential Construction Coordinator during absences, maintaining consistency in service, workflow and team performance.
Permits & Compliance
- Assists in the preparation, submission, and follow-up of permit applications to agencies such as Conservation Authorities, MNRF, Parks Canada, DFO, and relevant municipalities.
- Assists with preparation, submission, and follow-up of permit applications.
- Maintains permit tracking logs and ensure timely submissions, keep clients and/or Senior Construction Coordinator posted on status and/or anticipates delays.
Project & Client Coordination
- Prepares, updates, and maintains lists of sites (prospective and confirmed) requiring meetings or measure-ups. Organizes site meetings for Senior Residential Construction Coordinator and/or President as required.
- Prepares residential quotes for submission to the Senior Residential Construction Coordinator for review
- Answers clients and prospective clients’ inquires via phone and online platforms, assigns to appropriate staff
- Communicates updated pricing to clients annually (e.g., boatlifts, ladders, pedestals, dock accessories).
Vendor & Supplier Coordination
- Coordinates with suppliers for site and yard-related services including waste pickup, fuel orders, scrap steel removal, portable toilet orders, aggregate deliveries, and sewage pump-outs.
- Coordinates cross-border brokering for imported materials or equipment.
- Coordinates subcontractors for residential projects as required
- Tracks and processes orders for Golden boatlifts and manages inventory of special-order items (dock accessories, ladders, marine pedestals).
Working Conditions
- Primarily office-based with occasional visits to project sites or yard.
- Standard hours (8:00 am – 5:00 pm, 30-minute lunch); extended hours as required during peak season.
- Ability to sit or work at a computer for long periods; occasional light lifting (up to 20 lbs).
Education & Experience
- College diploma or certificate in Office Administration, Business, Construction Management, or related field (or equivalent experience).
- Minimum 2+ years of experience in an administrative or coordination role (construction or related industry an asset) required
- Experience with permits and municipal/regulatory processes preferred.
- Vendor and supplier coordination experience is an asset.
Skills & Requirements
- Strong organizational and time-management skills with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint).
- Excellent written and verbal communication skills.
- Comfortable interacting with clients, vendors, and regulators in a professional manner.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Valid Class G driver’s license with clean driving record
