Reservations & Front Office Clerk - Part-Time Position (15 - 18 hours/week)

The role of the Reservations & Front Office Clerk is to organize, plan, and facilitate all multipurpose meeting room reservations and service requests for all bookable locations in the University Centre.
Reporting to the Senior Operations Manager, the Reservations & Front Office Clerk will be responsible for scheduling all events, activities, and client requests; process reservations and allocate rooms according to availability, balance needs for different kinds of rooms required (e.g. allocating rooms to be used for in person or phone/web/ Teams) arranging room service offerings; assisting coordinators and management with event and staff planning requirements; maintain equipment and room key sign-outs; requisition and invoice respective services; and assist clients and guests with inquiries and information regarding building facilities, reservations, and available services. The Reservations & Front Office Clerk will serve as the front-line staff member for the department office and an ambassador for University Centre Services and the University of Guelph.
**Candidates must possess experience in managing a high volume of room reservations, coordinating special requests and services, and frontline customer service**
The successful candidate will possess proven communication and interpersonal skills and be a proven self-starter who effectively plans, prioritizes and manages multiple concurrent assignments and tasks. The ability to work well under pressure and high level of expertise in reservations handling is preferred in addition to the following skills/aptitude:
Problem solving:
The Reservations & Front Office Clerk applies a high degree of judgment to resolve a high volume of issues relating to scheduling and capacity planning while adhering to tight deadlines. The Reservations & Front Office Clerk identifies and solves problems with the scheduling process, which may involve hands on assistance in room set-ups.
Interpersonal Skills:
The Reservations & Front Office Clerk is able to handle multiple requests within a tight deadline, and applies analytical skills to scheduling, logistics and project tasks.
Customer Service Skills:
The Reservations & Front Office Clerk is customer service oriented, and builds strong relationships with co-workers. The Reservations & Front Office Clerk must have excellent interpersonal and verbal communication skills, along with a professional manner, effective probing, problem solving, conflict resolution and sound decision-making skills.
The incumbent must be able to adapt to a changing environment and handle multiple priorities.
Requirements for this position include a minimum secondary school diploma (post-secondary education or equivalent vocational training preferred) combined with a minimum two (2) years of previous experience in a similar role. The successful candidate for this position will possess a demonstrated commitment to customer service paired with a superior level of multitasking, problem solving, and communication skills. Attention to detail, effective organizational skills, strong technical aptitude, and focus on timely completion of tasks is essential for this position.
Starting Wage: $20.42/hr.
Job Rate: $27.61/hr.
