Front of House Staff / Receptionist – Job Summary
We are a fire prevention and commercial appliance company seeking a dedicated and friendly Front of House Staff member to join our team. This role is essential in providing excellent customer service and ensuring smooth day-to-day operations at the front desk. The ideal candidate will have experience in an office environment and possess strong organizational and multitasking skills to effectively manage various clerical tasks, including data entry, invoicing, cash management, and backup accounting administration.
Key Duties & Responsibilities
- Greet and assist visitors, clients, and guests upon arrival, ensuring a welcoming and professional atmosphere.
- Manage front desk operations, including answering phone calls, responding to inquiries, and directing visitors appropriately.
- Perform general clerical duties such as filing and data entry.
- Handle invoicing, billing inquiries, and assist with cash management, ensuring accurate and timely transactions.
- Provide backup accounting administration support, including assisting with accounts payable/receivable and maintaining financial records.
- Manage basic administrative tasks, including ordering supplies and managing office mail.
- Ensure the front office area is clean, organized, and presents a professional environment.
- Collaborate with team members to support smooth office operations and assist with administrative needs.
Qualifications & Skills
- Previous experience as a receptionist or in a front-facing office role.
- Proficiency in using phone systems, office equipment, and general software applications (e.g., Microsoft Office, Google Suite).
- Experience with invoicing, billing, cash management, and accounting administration (knowledge of QuickBooks or similar software is a plus).
- Strong customer service skills, with the ability to communicate effectively and professionally with diverse groups.
- Excellent attention to detail, particularly when managing records and transactions.
- Ability to handle multiple tasks in a fast-paced environment while maintaining a positive and professional attitude.
- High school diploma or equivalent; additional certifications in office management, accounting, or related fields are a plus.
