Position Overview
The Project Coordinator at FMI plays a critical role in supporting the successful delivery of construction projects by assisting the Project Management team in planning, budgeting, execution, and documentation. Based in Nanaimo, BC, this role demands strong organizational skills, leadership, and clear communication.
The Project Coordinator will work under the direction of a Project Manager and may be assigned smaller projects or specific portions of larger projects to manage independently. Responsibilities span procurement, scheduling, cost control, documentation, subcontractor coordination, client communications, and change management—all with a focus on delivering projects safely, on time, on budget, and within scope.
KEY RESPONSIBILITIES
Project Support & Coordination
- Assist Project Managers in the planning, budgeting, and execution of projects.
- Coordinate procurement activities including materials and subcontractor services using appropriate contract documents.
- Monitor project schedules, ensuring timely delivery of materials and readiness of subcontractors.
- Maintain compliance documentation and manage project records effectively.
- Support cost tracking of labour, materials, and equipment, and escalate cost overruns or risks proactively.
- Assist with project estimating as needed.
Client & Stakeholder Relations
- Act as a liaison between FMI, clients, subcontractors, vendors, and internal teams.
- Represent FMI professionally in all meetings and communications.
- Foster and maintain strong working relationships to support current and future business opportunities.
Subcontractor & Site Coordination
- Work closely with Site Supervisors to ensure subcontractors are prepared, accountable, and performing work according to safety, cost, quality, and schedule expectations.
- Confirm Site Supervisors understand subcontractor scopes prior to mobilization.
- Coordinate and manage subcontractor agreements, including tendering, negotiating terms, and processing change orders.
Change & Risk Management
- Track and manage changes to scope, schedule, and budget using formal change management processes.
- Perform risk assessments and implement mitigation strategies.
- Raise and resolve issues or escalate unresolved matters promptly.
Documentation & Reporting
- Ensure the latest drawings, specifications, submittals, and shop drawings are properly filed and used on site.
- Ensure detailed and up-to-date project documentation including RFIs, Submittals, Site Instructions, and Field Memos.
- Prepare and distribute accurate meeting minutes and project status reports for both FMI leadership and clients.
- Coordinate and complete project closeout procedures, including compiling lessons learned.
Financial Management
- Manage project budgets within FMI’s cost control system (Vista by Viewpoint).
- Prepare accurate monthly progress billings; for short-duration projects, bill upon completion, assist with progress billings for larger projects
- Track project performance metrics and provide monthly profitability forecasts.
- Review and approval of invoices, and pursue early payment discounts and supplier rebates to maximize project profitability.
QUALIFICATIONS & REQUIREMENTS
- Education: Bachelor's degree or diploma in project management, operations, civil/electrical/mechanical engineering or equivalent field; or equivalent construction industry experience.
- Experience: Minimum 3-5 years in the construction industry in a project support or coordination role.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Project).
- Familiarity with project management and cost control software (e.g., Vista, Procore)
- Strong organizational and time-management skills.
- Effective verbal and written communication.
- Problem-solving mindset with a proactive approach.
- Ability to collaborate across diverse teams and manage multiple priorities.
- Valid Driver’s License.
- Willingness to travel to job sites as required.
