Position Summary


This role is designed to ensure the smooth operation of JIBC’s programs by providing essential support in customer service, program delivery, financial support, and technical assistance for students and staff. The Program Assistant II provides administrative and operational support to ensure the seamless delivery of the program area, as well as fosters and maintains strong relationships with community partners. As a key contributor to the success of JIBC’s educational programs, the position involves a diverse set of tasks.

This multifaceted role ensures the seamless delivery of both online and in-person courses by managing course logistics, maintaining accurate student records, scheduling and proctoring exams, and supporting faculty and students with technical troubleshooting. Additional administrative duties include drafting correspondence and documents, and providing support for grading and record-keeping. The incumbent also responds promptly to inquiries and questions. The Program Assistant II maintains the divisional webpages, and monitors the general inbox.

With a strong focus on accuracy and service, the role includes managing invoicing, tracking client lists and activity, and ensuring compliance with service agreements. They review financial transaction documentation to ensure clients are paying for services rendered and that their accounts are up to date before granting additional activities.

This position requires sound judgment, attention to detail, and the ability to navigate complex situations while fostering an inclusive and supportive learning environment.

Qualifications & Requirements:

  • Secondary school graduation, plus three years office experience, or an acceptable equivalent combination of education, training, and experience.
  • Demonstrated proficiency in MS Office, Adobe Acrobat, Blackboard, Colleague, filemaker, Excel, Outlook, Drupal, Unit4 and Proctorio
  • Demonstrated time management, planning and organizational skills
  • Excellent knowledge of multiple web browsers (Google Chrome, Safari, Edge) and ability to provide basic technical support to students
  • Ability to exercise tact, discretion and maintain student confidentiality in preparing, handling, and disclosing information when third parties are requesting information (WorkSafe, employers etc..)
  • Ability to communicate effectively verbally and in writing with students, instructors, clients and coworkers.
  • Ability to carry out complex instructions accurately.
  • Ability to gather, record, and organize information for Canine validations, Advanced Security Exams, Gaming Security Exams and Casino Surveillance Operator invoicing.
  • Ability to prioritize students and organizational requests efficiently based on sound technical knowledge of task and time requirements when receiving multiple requests at the same time vis email, phone calls, teams and walk ins.
  • Proven ability to work independently and meet deadlines;
  • Experience in the continued revision and upgrading of internal documentation such as instructor documents and documents on the website.
  • Familiarity with Security regulations in regards to expirations, exemptions, licensing, tracking, certification, challenging, and requirements.
  • Excellent time management skills to prioritize and complete assignments and schedule activities
  • Demonstrated student-centred problem-solving skills and exhibit strong interpersonal & customer relations skills for when a student calls in upset/distraught
  • Ability to calmly deal with upset, angry, demanding or unpredictable clients/students/members of the public with a high degree of tact, courtesy, and diplomacy
  • Ability to establish and maintain effective working relationships with a variety of internal and external contacts;
  • Ability to independently establish work priorities, multi-task, and meet deadlines while working with frequent interruptions from phone calls, teams messages, coworkers, emails, meetings, and deadlines.
  • Frequently and independently balance the demands of conflicting priorities, problems, deadlines and concurrent projects;
  • Understands the principles of computer hardware and software to analyze, troubleshoot and problem solve computer settings/issues for students.

What JIBC Offers:

We offer compensation in lieu of benefits and vacation for the duration of this term role.

Salary Range:


$53,512.83 (with wage increments to a max of $57,185.10). Salary and wage increments are in accordance with the Collective Agreement. (BCGEU Pay Grid 11)

Work Arrangements:


This is a term full-time (35 hours per week) position. The successful candidate must be within a commutable distance to the JIBC New Westminster campus. Hybrid work arrangements may be considered.
