Section 1. Introduction
My Neighbourhood Services is a multi-service community organization that delivers integrated,
community-based supports to a wide cross-section of residents across Peel Region.
Our services include:
- Access to psychotherapy and short-term counselling
- Harm reduction education and referrals
- Mindfulness and self-regulation workshops
- Connections to community health providers (e.g., nurse practitioners,
MNS delivers life skills programming that supports clients in building the confidence,
knowledge, and routines necessary to move forward in their lives. These include:
- Parenting programs with embedded research and mental health content
- Seniors’ social inclusion and recreation programs to reduce isolation
- Pre-employment readiness activities for newcomers
- Community integration supports that foster belonging and social connection
- Language Instruction for Newcomer Classes to assist newcomer integrate
- Robust youth programs
- Programs that work from a culturally-informed perspective to build on cultural
identity, values and practices.
All programs are locally accessible, culturally responsive, and grounded in the lived realities of
our diverse client population. Our multilingual team, which reflects the over 35 countries within
our community.
Where direct service is not possible, we coordinate closely with a broad network of partners to
ensure clients are referred to appropriate supports without delay.
We are seeking proposals from qualified consultants or consulting firms to guide our
organization through the entire accreditation process for the first time, from initial preparation to
successful completion. The consultant will serve as a trusted advisor, trainer, and project lead,
ensuring we meet all standards, build organizational capacity, and embed sustainable practices
for future re-accreditation cycles.
Section 2. Background
Our organization is committed to delivering high-quality, evidence-based programs that meet the
highest standards of service delivery, governance, and accountability. Achieving accreditation
will help us:
- Validate our programs and practices
- Strengthen operational systems and governance
- Increase funder and stakeholder confidence
- Improve long-term sustainability
We have not undergone accreditation before and require expert guidance to navigate the process
from start to finish.
Section 3. Scope of Work
The successful consultant will be responsible for:
a) Initial Assessment & Planning
- Conducting a gap analysis of our current policies, procedures, governance, and operations
against accreditation standards.
- Developing a customized accreditation roadmap with timelines, milestones, and resource
requirements.
b) Staff & Board Orientation
- Providing training and information sessions for staff, management, and Board members
on accreditation requirements, benefits, and processes.
c) Policy, Procedure, and Documentation Support
- Assisting in the development and/or revision of policies, procedures, and operational
documents to meet accreditation standards.
- Advising on recordkeeping, data collection, and reporting systems.
d) Project Management & Ongoing Support
- Coordinating timelines and tasks to ensure readiness for accreditation review.
- Providing ongoing consultation, troubleshooting, and progress monitoring.
e) Mock Review & Preparation
- Conducting a mock site visit or review to simulate the accreditation process.
- Identifying final adjustments and ensuring all requirements are met before the official
review.
f) Accreditation Review Support
- Supporting the organization during the formal review, including communication with the
accrediting body, if required.
g) Post-Accreditation Recommendations
- Delivering a post-project report with recommendations for maintaining compliance and
continuous improvement.
Section 4. Deliverables
At minimum, the consultant will provide:
- Comprehensive gap analysis report
- Accreditation roadmap with clear milestones
- Updated and/or new organizational policies and procedures as required
- Staff and Board training materials
- Monthly progress reports to Executive Director and Board
- Mock review and findings report
- Final post-accreditation sustainability plan
Section 5. Project Timeline
The expected project duration is 12-18 months, starting September 2025 and concluding upon
successful completion of the accreditation process.
Section 6. Budget
The total budget available for this contract is $60,000 CAD, inclusive of all professional fees,
travel, materials, and applicable taxes. Payment schedules will be negotiated based on milestones
and deliverables.
Section 7. Proposal Requirements
Proposals should include:
1. Cover Letter introducing the consultant/firm and summarizing the proposal.
2. Company Profile / Consultant Biography including qualifications, relevant experience,
and areas of expertise.
3. Proposed Work Plan outlining the approach, methodology, and timeline.
4. Experience with Non-Profit Accreditation (include examples of organizations supported,
types of accreditation, and outcomes).
5. Team Composition (if applicable) and roles.
6. References (minimum of three, preferably non-profits).
7. Budget Breakdown including fees, anticipated expenses, and HST.
8. Availability to start the project and meet timelines.
