Job Summary

Reporting to the Senior Director, Operations, the Multi-Family Projects Coordinator will play a key role in supporting project managers, field teams, and insurance partners by overseeing the coordination of insurance restoration claims from initial contact through to project completion. This role directly impacts customer satisfaction and operational efficiency and requires outstanding communication, organization, and multitasking skills.

Key Responsibilities:

  • Coordinate and administer exterior reconstruction/restoration projects—including both insurance and non-insurance jobs—from initiation to completion, ensuring all key performance indicators (KPIs) are met.
  • For insurance-related projects: Perform initial contact calls, assign Project Managers, and maintain accurate status updates and notes in XactAnalysis/Xactimate.
  • For non-insurance projects: Manage customer intake, create and assign project workflows, and ensure scope, budget, and timelines are clearly communicated and followed.
  • Follow up on open claims and projects to obtain approvals from insurance adjusters, collect work authorizations from property owners, and process deductibles as required.
  • Work closely with Project Managers to ensure that the scope of work is clearly defined and understood by crews, and that any discrepancies are clarified before or during execution.
  • Communicate proactively with insurance adjusters, property owners, condo boards, and other stakeholders, providing timely updates through relevant platforms (e.g., XactAnalysis, CRM).
  • Support customer service resolutions by working collaboratively with Project Managers and the field team to expedite issue resolution.
  • Assist the National Director, Sales in creating Work Orders and Purchase Orders for large loss, multi-family and high-value projects.
  • Manage and maintain professional relationships with Condo boards, property managers, and large loss adjusters.
  • Track project profitability and costs, especially for large-scale or multi-site jobs.
  • Other duties as assigned by supervisors.

Qualifications:

  • Minimum 2 years’ experience coordinating exterior restoration or renovation projects (required)
  • Familiarity with XactAnalysis, Xactimate, and CRM platforms (preferred)
  • Strong ability to read and interpret insurance estimates and scopes of work is preferred
  • Extraordinary organization skills to simultaneously administer hundreds of insurance exterior restorations
  • Ability to work accurately at an extremely fast pace, where the cycle-time of each claim is measured by the insurance company
  • Exceptional customer service skills over the phone & in-person, be persuasive, and a sharp negotiator
  • Computer proficiency, in particular, Microsoft Outlook, Excel, and Word

Compensation: Starting from 65k depending on experience
