Position Overview
We are seeking a friendly, organized, and detail-oriented Medical Office Assistant who is enthusiastic about the medical aesthetics industry. As the first point of contact for our clinic, you will play a key role in creating a positive experience for our patients while providing essential administrative and clinical support.
Key Responsibilities
- Greet patients and visitors with a warm and professional demeanor
- Assist patients with completing intake and consent forms
- Prepare patients for treatments and ensure comfort throughout their visit
- Capture high-quality before-and-after treatment photos
- Assist practitioners during aesthetic procedures as needed
- Stock and maintain treatment rooms with necessary supplies
- Oversee the cleaning and autoclave sterilization of instruments
- Ensure cleanliness of lobby and treatment areas between patients
- Dispose of waste and sharps appropriately
- Schedule and manage appointments using EMR systems
- Answer phone calls, texts, and emails in a timely and professional manner
- Maintain patient records with strict confidentiality
- Process payments and issue invoices accurately
- Provide support with retail skincare sales and product knowledge
- Stay informed about all treatments and skincare products offered
- Assist with various administrative tasks as needed
Qualifications
- High school diploma or equivalent required
- Completion of a Medical Office Assistant or related program is an asset
- Minimum 1 year experience in a medical or aesthetic clinic setting
- Excellent communication and interpersonal skills
- Proficient in computer use, including EMR systems
- Strong organizational skills and the ability to multitask efficiently
- Friendly, professional, and team-oriented attitude
- Fluency in Mandarin or Cantonese is a strong asset

Schedule
- 4-hour or 7-hour shifts
- Day shifts, including weekends
- Monday to Saturday availability preferred
Education
- Secondary school completion preferred
- Post-secondary education in medical administration is an asset
