WHAT WE DO
We conduct Labour Market Research to provide insights for our partners into workforce availability. We deliver employer supports and facilitate career placement opportunities to help employers reduce the risk of hiring and allow biotechnology workers access to unique opportunities in their field. We provide job search and candidate search tools to connect employers with talent, and we provide professional development opportunities for workers to develop the skills they need to support Canada’s bio-economy. We are looking for a Marketing & Events Coordinator to join our team! This is a 1-year contract, with the possibility of permanency if extended.
WHAT YOU WILL DO
Reporting to the Project Manager, Marketing & Communications, the Marketing & Events Coordinator oversees the planning, execution, and evaluation of BioTalent Canada’s events and related marketing initiatives. Working closely with internal teams this role ensures seamless logistics, ensures event strategies are aligned with organizational goals, and delivers measurable impact through analysis and integrated campaigns. Key responsibilities include managing event logistics and timelines, elevating brand visibility through professionally executed event experiences, and ensuring high-quality marketing materials, all in support of elevating BioTalent Canada’s thought leadership influence for the bio-economy.
In this role you can expect to:
- Assist with market research and identify trends or innovative approaches to event management
- Lead the planning and execution of event logistics from concept to completion
- Conduct return on investment analyses to determine why BioTalent Canada is participating in each event and define success criteria and key metrics
- Collaborate with internal teams to align event objectives with marketing and sales goals, ensuring events support BioTalent Canada’s mission
- Maintain a forward-looking approach by researching emerging event opportunities, speaking engagements, and sponsorships that enhance visibility
- Oversee all event logistics, including booking venues, coordinating booth materials and ensuring relevant promotional collateral is available
- Prepare and pack materials for events, to ensure everything is shipped/transported on time and that all supplies are returned to the main office post-event
- Provide onsite or virtual event support, ensuring that BioTalent Canada representatives and have all necessary tools and resources
- Support with marketing campaigns and targeted outreach to maximize attendance and engagement
- Ensure consistent brand messaging across all event-related communications and collateral
- Track budgets, monitor expenses, and reconcile post-event invoices
- Collect and review event feedback through surveys or other methods, analyze performance against objectives, and provide detailed reports to relevant parties
- Maintain event-related documentation, timelines, and checklists to ensure no detail is overlooked
- Work closely with the Marketing & Communications team to integrate events into the broader marketing strategy and support product revenue and partnership goals
- Provide backup support for other marketing activities, such as eNewsletters, CRM tracking, and website updates.
- Edit and proofread all marketing and communications materials to ensure accuracy, clarity, and consistency with BioTalent Canada’s brand voice.
- Coordinate with contractors, such as graphic designers, printers to build marketing collateral
- Prioritize lead generation efforts alongside the regular requirements of the role
- Perform other duties as required in line with the Mission and Objectives of BioTalent Canada
WHAT YOU WILL BRING
- Affable team player with a good sense of humour and professionalism, who thrives in a high-performing team
- Strong project coordination and organizational skills, with the ability to manage multiple concurrent events and marketing initiatives under tight deadlines
- Experience supporting end-to-end event management (planning, logistics, promotion, registration, execution, and post-event follow-up)
- Administrative and customer service experience, demonstrating the ability to support diverse stakeholders
- Self-starter with the ability to take ownership of projects and deliver results with minimal supervision
- High attention to detail and commitment to quality in all communications and event deliverables
- A passion for marketing, communications, and event management, with a forward-looking mindset to improve processes and outcomes
- Proven fluency in both English and French (reading, writing, and speaking)
- Strong writing and editing skills, with the ability to proofread and ensure accuracy in translated copy
- Excellent presentation and verbal communication skills, with a collaborative and consultative approach
- Familiarity with event management systems, registration platforms, CRM tools, and website
- Proficiency with MS Office (Word, Excel, Outlook, Powerpoint)
and other corporate productivity tools. - University or college degree/diploma in Communications, Marketing, Event Management, Hospitality, or a related field or an equivalent in experience
- 1–3 years of experience in marketing, communications, and/or event coordination roles within business, non-profit, or customer-facing environments
PREFERRED QUALIFICATIONS INCLUDE:
- Knowledge of/experience in the biotechnology industry in Canada
- Experience in non-profit organizations
- Strong interpersonal skills are a definite asset
- Proficient with corporate productivity tools
- Strong listening and presentation skills
BioTalent Canada offers a competitive total rewards package. Our hybrid work environment offers the flexibility to regularly work from the Ottawa office a minimum of two days per week and remotely from a designated home office.
