Position Overview:
We are seeking a highly organized, proactive Marketing and Events Coordinator to support the planning and execution of our portfolio of B2B events. This role is primarily administrative in nature, with responsibility for vendor management, budget tracking, social media content, and sponsorship fulfillment. The successful candidate will take initiative, ensure accuracy in all deliverables, and be comfortable communicating with sponsors, vendors, and internal teams.
Key Responsibilities:
- Manage contracts and vendor payments, ensuring invoices are processed on time.
- Track expenses and update event P&L as required.
- Support planning and execution of flagship events including Under 40, Influential Women in Business, C-Suite Awards, Fastest Growing Companies, BC Export Awards, and others.
- Oversee event logistics including venues, vendors, timelines, and budgets.
- Work cross-functionally with the event team to ensure seamless execution and a high-quality attendee experience.
- Coordinating the nomination process of key award programs.
Marketing & Branding
- Coordinate with internal creative and marketing teams to fulfill event deliverables.
- Manage event promotion across digital, print, and social channels to drive awareness, engagement, and attendance.
- Manage and write organic social content and event newsletters.
Sales & Sponsorship Support:
- Assist with sponsor outreach and communication.
- Ensure sponsorship deliverables are fulfilled and documented.
- Support ticket sales, registration management, and attendee communication.
Reporting & Analytics:
- Track marketing campaign and event performance metrics.
- Compile post-event reports with actionable insights to inform continuous improvement.
Qualifications:
- 3+ years’ experience in project coordination, event management, or a related role.
- Strong organizational and time-management skills with the ability to manage multiple deadlines.
- Demonstrated initiative and accountability in delivering on commitments.
- Excellent communication skills; comfortable liaising with sponsors, vendors, and internal stakeholders.
- Proficiency in Google Workspace, Social channels, MailChimp and familiarity with event software is an asset.
