Position Overview:
We’re seeking a motivated and detail-oriented professional to join our team on a 12-month maternity leave contract. This is a great opportunity to gain firsthand experience in a dynamic environment, contribute meaningfully, and support a key function within the organization.
The Inventory Coordinator plays a key role on the Aquosis team, reporting directly to the Inventory Manager. In this role, you will support the control, administration, and coordination of inventory procurement related to both sale/distribution and the rental of Aquosis equipment lines. You will deliver exceptional organizational support and customer service to both internal stakeholders and external clients/vendors.
Job Responsibilities
- Maintain accurate pricing, margin data, and stock levels within the Rental Management System in accordance with Aquosis’ standards.
- Conduct stock analysis and support demand planning to ensure appropriate inventory levels across all locations.
- Plan and coordinate inventory procurement and transportation logistics, including cross-border and ocean freight.
- Prepare, process, and manage purchase orders for capital, stock, and Corporate Fleet purchases; ensure proper documentation and compliance with company policies.
- Coordinate with vendors to request quotes, manage purchase orders, and support vendor relationships, including follow-ups on pricing, lead times, and order status.
- Monitor inventory costs and support the application of appropriate margins to ensure pricing aligns with profitability targets.
- Coordinate inventory transfers between branches to support operational efficiency and stock availability.
- Assist with physical inventory counts, including cycle counts and annual inventory audits.
- Generate and review routine inventory reports (e.g., reservations, red tags, open POs/WOs, min/max, utilization) and communicate discrepancies or actionable insights to the Inventory Manager.
- Ensure procurement and inventory activities comply with internal policies and audit requirements; maintain organized, audit-ready documentation.
- Maintain professional communication with internal teams, vendors, and customers; provide administrative support as needed.
- Collaborate with Operations, Sales, and Procurement teams to align inventory availability with business needs and timelines.
Qualifications and Required Experience
- Advanced proficiency in Microsoft Excel, including VLOOKUP, PivotTables, data filtering/sorting, and spreadsheet management.
- Experience building and analyzing inventory and procurement reports using Excel tools and formulas.
- Working knowledge of inventory performance metrics (KPIs) and inventory control best practices
- Knowledge of international shipping documentation and logistics coordination
- Experience with Texada or other rental/inventory management systems is an asset.
- Strong attention to detail with excellent organizational and computer skills
- Proven interpersonal, customer service, and time management abilities.
- 3–5 years of experience in a fast-paced, process-driven customer service or operations environment
- Experience in sales and rental services is an asset.
- Inventory management experience is preferred.
