About the Role:
We are seeking a proactive and organized HR & Administrative Coordinator to support our growing team. This role is central to our day-to-day operations, providing a mix of human resources support, administrative coordination, and compliance tracking across multiple departments.

Key Responsibilities Include but Are Not Limited To:
Human Resources Support
- Post job listings and track incoming applications.
- Conduct initial candidate screenings and coordinate interviews with hiring managers.
- Prepare onboarding packages and facilitate employee orientations.
- Track probation periods, benefit eligibility, and RRSP milestones.
- Maintain accurate employee records.
- Conduct employee exit checklists.
- Coordinate SINP.
- Format and distribute HR policy updates.
- Ensure compliance with federal and provincial labour laws through accurate documentation, record-keeping, and monitoring of employee-related activities.
- Track employee disciplinary actions, warnings, suspensions, and overall compliance.
- Assist with return-to-work plans and, as necessary, submit E1 forms to support Worker’s Compensation and leave documentation.
Administrative & Compliance Duties
- Manage office and crew supplies, including ordering and inventory control.
- Perform data entry for railcar repairs, track inspections (switch inspections, turnout inspections), vehicle safeties, oil sample reports, locomotive maintenance schedules, and other maintenance-related records.
- Coordinate employee recognition programs, appreciation gifts, and company events.
- Assist with transportation data management, including e-tests, validations, permits, and support the rollout of new software systems such as TrackSense.
- Scribe for Train Crew statements, as required.
- Work in collaboration with the Safety Coordinator to schedule and track site inspections, including fire extinguisher and first aid kit compliance, vehicle safety checks, and oversize permits.
- Support the Safety Coordinator in following up on compliance issues and tracking completion of corrective actions.
- Assist the Safety Coordinator in monitoring safety and training compliance, including toolbox meetings, EdAPP training, on-the-job training (OJT), and certifications.
- Maintain detailed records to ensure adherence to safety, operational, and regulatory requirements.
Qualifications:
- A certificate or diploma in Human Resources, Business Administration, or a related field is preferred, along with 1-2 years experience in HR, office administration, or a related area. Extensive experience will also be considered.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- High attention to detail and accuracy in data entry and compliance tracking.
- Ability to handle confidential information with discretion.
- Knowledge of Saskatchewan and Canadian Labour Laws.
- Tech-savvy, with the ability to learn and navigate new systems and software quickly.
- Proficient with Microsoft Office Suite.
- Experience with or willingness to learn rail transportation or safety compliance systems is an asset.
Salary: $55,000 – $70,000 per year, depending on education and experience.
