PROFILE
We are seeking a full-time Legal Administrative Assistant to join our Float Team in our Vancouver office. The successful candidate is an enthusiastic and hardworking team player who would like exposure to various working groups within our firm, and build on their legal experience. This role requires in-office attendance 5 days per week.
RESPONSIBILITIES
- Assist both legal professionals and assistants within various practice groups
- Drafting and preparing letters, memos and correspondence as directed by legal professionals
- Maintaining hard copies and electronic files for legal professionals and assistants
- Organize and expedite the flow of work through the professional’s practice, initiating any follow-up action as appropriate;
- Work proactively in the day-to-day support of the professional’s practice including management of diary systems and databases to ensure important deadlines are met;
- Use initiative and good judgement to relieve the professional of administrative detail including but not limited to accounting, opening and closing of files, and billing;
- Processing billable and non-billable time and invoices
- Coordinate flow of documents between legal professionals, various internal and external individuals and clients at all levels;
- Scanning, copying and filing as required
- Other duties as assigned.
QUALIFICATIONS
- 3-5 years of experience working as a Legal Administrative Assistant in a professional environment
- Strong client service orientation and the ability to communicate effectively with firm members at all levels
- Exceptional attention to detail, with the ability to produce high-quality work under tight timelines
- Ability to use discretion when dealing with confidential information
- Able to prioritize and to redefine priorities when necessary
- Capacity to work independently, as well as in a team environment
- Strong written and verbal communication skills
- Strong knowledge of Microsoft Office Suite
