We are now looking for a detail-driven Executive Assistant with real estate industry experience, social media knowledge, and graphic design skills to support our agency. This role is for someone who thrives on accountability, organization, and high standards.
Role Overview
You will serve as the CEO’s right hand in ensuring our social media management, content workflows, and client deliverables are executed with precision. You’ll also manage task flow, oversee design needs, and keep the team accountable to deadlines and brand standards.
This is not a basic admin role. It’s an operations and content management role where your execution directly impacts the success of our agency.
Key Responsibilities
Social Media & Content Management
. Manage social media scheduling and posting for clients using Loomly
. Prepare Instagram Reels, TikTok posts, carousels, and stories to be delivered on time
. Collaborate with the creative team to ensure captions, hashtags, and visuals reflect brand standards
. Monitor performance and make sure all tasks are executed to the highest quality
Graphic Design & Branding
. Create branded content and marketing assets using Canva
. Design graphics for listings, real estate features, “listing of the week,” and industry news
. Maintain a consistent aesthetic and align with industry leaders’ styles
Operations & Task Management
. Use Notion or Monday.com to track project timelines and task completion
. Ensure all deliverables are on time, organized, and meet brand quality standards
. Build Standard Operating Procedures (SOPs) to streamline workflows
. Manage and oversee virtual assistants, ensuring their work is accurate and on schedule
CRM & Client Outreach
. Manage agent outreach using Follow Up Boss CRM
. Extract and input agent information into the CRM as needed
. Assist with outbound campaigns to real estate professionals
CEO Support & Brand Alignment
. Work directly with the CEO to make sure all operations run smoothly
. Keep all workflows, social content, and deliverables aligned with brand standards
. Provide accountability checks so no detail is overlooked
What We’re Looking For
. Experience in real estate marketing and social media management
. Graphic design experience, specifically with Canva
. Familiarity with Loomly for social media scheduling and content workflows
. CRM knowledge with Follow Up Boss
. Strong organizational and time management skills
. Confident managing multiple projects simultaneously
. Independent and solution-oriented — someone who takes initiative and finds answers
. Excellent communication skills and a sharp eye for detail
Bonus Points If You Have
. Prior experience building SOPs or managing virtual assistants
. Experience with content marketing agencies or real estate brokerages
. Knowledge of real estate industry trends and social-first marketing tactics

We’re looking for an operator, designer, and content manager who can help scale our agency with consistency, accountability, and creative precision.
Job Types: Part-time, Permanent
Pay: $17.20-$23.00 per hour
