Your Opportunity
BDO Canada is seeking an Executive Assistant in Toronto to support the Consulting’s Executive Team by owning the below job responsibilities:
Key Accountabilities and Responsibilities
- Supporting BDO Consulting’s partners and senior managers in achieving operational goals and implementing objectives
- Assist in leading strategic group initiative project streams to support development of corporate vision
- Soliciting input from and coordinating with firm leadership to plan, track, monitor, and follow the progress of projects, action items, risks and business strategies that emanate from the partner and their team
- Preparing and distributing project materials
- Organizing and attending project team meetings as well as taking meeting minutes
- Preparing reports for leadership on project status and keeping leadership informed of project direction, including achievement against project milestones, resourcing, budget, expenditures, revenue etc.
- Undertaking administrative tasks for assigned Partners and Senior Managers within the Consulting Practice, including scheduling & organizing meetings, travel arrangements, managing calendars, monthly billing, and preparing reports as required
- Assisting with the preparation of client proposals and presentations
- Drafting talking points on an array of topics as required, and ensure that the partner/leader is prepared and in possession of information and materials required for meetings and other scheduled events
- Acting as a representative and ambassador for the accountable partners and other leaders, facilitating communication and working independently with the firm’s leadership team as required
- Client interaction to support information requests and follow-ups
- Assisting with partner expense reports
- Proactively anticipating the needs of the partners and other leaders, and ensuring accuracy, coordination, and prioritization/optimization of leader’s time
- Ensure leaders are working on the most important items for the practice
- Help complete priority items for the leadership team to an appropriate level of quality
- Performing other duties as assigned

Education and Professional Skills/Knowledge
- You have three to five+ years of working experience in an executive assistant role or other administrative role in which you supported senior leaders;
- You have an Office Administration diploma or other relevant education an asset;
- Prior working experience at a professional services firm an asset;
- You have excellent knowledge of Microsoft Office computer programs (Word, Excel, and Outlook);
- You have the ability to prioritize workload and the flexibility to manage multiple tasks;
- You are able to work quickly and take on more responsibilities over time;
- You have the ability to work in a deadline-driven work setting and deal with confidential information;
- You have strong problem solving, analytical, and communication skills both written and oral;
- You value teamwork, client service, and quality in detailed work;
- Fluent in French; and
- You have excellent written and oral communication.
