Job Summary:
The Executive Assistant will play a key role in ensuring smooth day-to-day operations, coordinating schedules, and facilitating communication. No prior experience is necessary—what we value most is a positive attitude, a willingness to learn, and a proactive approach to problem-solving.
NOTE: This is a full-time, permanent, on-site position in downtown Vancouver.
What You’ll Be Doing:
- Calendar and Travel Management: Manage the executive's calendar by scheduling meetings, appointments, and travel. You'll also plan and organize domestic and international travel, including flights, accommodations, and transportation. You will provide support for the executive's personal matters, such as moving arrangements (when relocating cities).
- Communication: Serve as a liaison between the executive and internal and external contacts. You'll manage phone calls, emails, and correspondence.
- Meeting and Event Coordination: Organize and prepare for meetings by gathering materials, creating agendas, and taking notes. You will also assist with planning and coordinating company events, including Beer Fridays and larger gatherings.
- Office and Document Management: Assist with preparing documents, presentations, and reports. You will also help maintain office supplies and equipment, and assist with special projects and tracking key company milestones.
- Employee Engagement: Support internal communications by assisting with the company newsletter and coordinating celebrations for employee birthdays.
- Expense Reporting: Track and reconcile expenses for the executive, ensuring accurate and timely reporting.
- Confidentiality: Handle sensitive and confidential information with the highest level of discretion.
What You Should Already Have:
- A positive and proactive mindset, eager to take on new challenges and learn new skills.
- Strong verbal and written communication skills, with a willingness to improve and adapt.
- Naturally organized and able to manage multiple tasks simultaneously.
- Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is an asset
- A high level of professionalism and discretion, particularly when handling sensitive information.
- A collaborative spirit and willingness to contribute to the success of the team.
- Nice to have: BC Drivers License (N or Class 5)
