Supporting the Executive Director and Executive leadership of Alberta Health Services, Optimization, the Executive Administrative Assistant position provides senior administrative services and support to the Optimization leadership team. This position provides comprehensive administrative support services which contribute to the efficient and professional operation of the executive offices. As this is a provincial team, this position’s location is negotiable and may be eligible for a remote/hybrid work arrangement. Description:
Working independently and with minimal supervision or direction, this position provides a full range of administrative support and secretarial duties for the Executive Director, Optimization and the Executive leadership team. Key responsibilities include: managing the executives’ calendar; prioritizing appointments and proactively resolving conflicts; proactively creating and maintaining effective work-flow to accomplish the work of the office which includes the handling of a variety of tasks simultaneously; providing support to the Executive Leads; This position assists in the management of correspondence, documents, data collection, manipulation, maintains appointment calendar, coordinates and schedules meetings, prepares meeting packages and takes and distributes minutes; processes invoices, expense claims and time cards; assists with IT issues; Issues Management: Is responsible for the effective administration and coordination and management of information, correspondence, facts and data. In addition, this role will support project tracking, management and reporting for the Optimization team priorities.

Minimum of High School Diploma and a Post- Secondary Diploma, preferably in office or Business Administration. Three years advanced administrative experience, preferably in a healthcare setting (combination of formal education, training, and experience will be considered).
