Job Overview
The Client Coordinator will act as the primary point of contact for clients, ensuring smooth communication and exceptional service throughout their journey. You’ll be responsible for supporting both the client and internal teams, managing administrative tasks, coordinating timelines, and anticipating client needs. A key part of the role involves frequent communication with vendors—drafting and sending emails, confirming service details, gathering deliverables, and ensuring everyone stays aligned leading up to the event or project. You’ll be expected to maintain clear, timely, and professional correspondence to keep both clients and vendors informed and confident in the process.
Responsibilities
- Act as the primary liaison between clients, vendors, and internal teams
- Manage and update client profiles, contracts, and communication history using our CRM system
- Draft and send client timelines, vendor schedules, and event-related updates
- Coordinate and send vendor emails to confirm services, gather details, and ensure alignment on deliverables
- Prepare and send welcome packages and onboarding documents for new clients
- Track key performance indicators (KPIs) to monitor client satisfaction, project progress, and response timelines
- Support with administrative tasks such as calendar management, file organization, and workflow checklists
- Anticipate client and vendor needs to ensure a seamless experience from onboarding to project completion
- Maintain accurate and up-to-date records of contracts, deposits, deliverables, and deadlines
- Collaborate with the planning team to ensure day-of logistics and communications are in place
- Follow content calendar and post on socials accordingly
Skills
- 1–3 years of experience in client service, coordination, or administration
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Proficient in Microsoft Office and Google Workspace
- CRM or project management software experience is an asset
- Ability to multitask and prioritize in a fast-paced environment
- High attention to detail and a proactive approach to problem-solving
- Familiarity with instagram, TikTok and other social media platforms
Working Hours:
This is a part-time position requiring a commitment of 15 hours per week, ideally spread across 4 days (e.g., Monday–Thursday). Some flexibility is available in terms of scheduling, but availability during business hours is preferred to ensure timely communication with clients and vendors. Occasional evening or weekend check-ins may be required around major project deadlines or events.
