We’re looking for dependable, detail-driven Event Coordinators who take ownership and ensure our catering jobs run smoothly from start to finish. This is a freelance, flat-rate, per-event position where you step in, take charge, and make sure clients get exactly what they ordered.
This role is best suited for someone who understands expectations quickly and can work independently without step-by-step direction.
How It Works
- You’ll be part of a WhatsApp group with other coordinators.
- Upcoming events are posted there, and if you’re available, you can claim the job.
- Once you accept, the event is yours to manage from preparation through to completion.
Responsibilities
Before the Event
- Review the quote, checklist, and client details with fresh eyes to make sure nothing has been missed.
- Confirm and book servers, provide them with event details, and line up backup staff in case of last-minute changes.
- Coordinate with our virtual assistant if any details need clarification.
Day of the Event
- Meet or call Aaron (co-owner) to review the order, confirm the food plan, and ensure nothing is overlooked.
- Check in with servers to confirm their readiness and timing.
- Follow up with Aaron during prep to confirm food status and timing.
- At pickup, visually verify the order so nothing is forgotten.
- Make sure the client or liaison signs the sign-off sheet on delivery as confirmation that the order is complete and correct.
During the Event
- Act as the main point of contact for clients and staff.
- If an issue arises, respond quickly, gather details, take photos, and resolve as needed. You may need to go on-site depending on the situation.
After the Event
- Provide a short report on how the event went, including any successes, concerns, or adjustments needed for the future.
Expectations & Qualities We Value
- Independent, accountable, and able to take full ownership of each event you accept
- Strong organizational and leadership skills
- Professional and reliable with clients and staff
- Calm and solution-focused under pressure
- Excellent memory and attention to detail, able to recall client and event details quickly
- Clear and proactive communicator
- Flexible availability, including evenings and weekends
Corporate Focus
We’re expanding our corporate catering business, and Event Coordinators play a key role in that growth. You’ll represent the company to clients and may also be featured in our marketing as part of the coordinator team.
Pay Structure
This is a per-event position with a flat rate of pay, based on the size and scope of the event. Each rate is confirmed upfront before you accept the job.
Freelance Role
This is a freelance/contractor opportunity, not an employee position. Event Coordinators work for themselves, choose which events they wish to accept, and are paid on a per-event basis. Coordinators are responsible for their own taxes, record-keeping, and compliance with CRA requirements. The Dog House Catering does not provide employment benefits, deductions, or guarantees of ongoing work.
How to Apply
Apply directly on Indeed. To help us get to know you, include a short response describing a time you were given general responsibilities without step-by-step instructions and took ownership to ensure everything went well.
